Position Summary
The Nursing Secretary performs various services relative to the overall operation of the Nursing department and in a professional and efficient manner. The purpose of this position is to ensure adequate staffing levels for the Nursing and Personal Care departments and assist in Medical Records.
Qualifications
- High school education
- Minimum of 1 year in long-term care preferred
- Continuing education as required by federal and state regulations, including in-service training programs

- Excellent communication and organizational skills; strong attention to detail
- Fundamental computer and clerical skills
- Ability to prioritize and reprioritize as needs shift throughout the day
- Ability to adapt to change and be supportive of administration when change is necessary for the good of SRSL and resident care
- Knows and adheres to all policies, procedures, and industry regulations; i.e. HIPPS, Corporate Compliance
- Treats residents and coworkers as customers and provides quality service and assistance
- Trained to assist with Medical Records, Unit Secretary coverage, and resident feeding
Essential Duties & Responsibilities
- Completes Nursing and Personal Care staffing schedules in a timely manner.
- Completes Daily Staffing Rosters based on the schedule and works with DON to ensure coverage. Keeps a record of staffing hours for Nursing on a daily basis.
- Maintains staffing on a daily basis filling any positions as the need arises and adjusting for any call offs. This may include contacting SRSL staff or Agency staffing.
- Coordinates orientation for agency personnel and communicates with Supervisors.
- Monitors absences to ensure policy regarding 2 hours prior to call off is maintained and notifies DON of any issues.
- Monitors and verifies PBJ hours on a daily basis and notifies DON and Director of Human Resources of any discrepancies.
- Notifies Human Resources on a daily basis of any consecutive no call / no shows or absences of 3 or more days.
- Inputs all Nursing and Personal Care schedules to scheduling system. Addresses attendance exceptions on a daily basis.
- Communicates proactively with staff regarding attendance occurrences and patterns.
- Assures all timecards are accurate and finalized for payroll and notifies accounting when complete. Communicates any discrepancies to the DON.
- Maintains nursing staff’s communication folders as they are hired, terminated, transferred, etc. Notifies Human Resources if folders are not being utilized.
- Fills in as direct care when needed.
Non-Essential Duties & Responsibilities
- Attend all required in-service meetings and any Director of Nursing approved relevant seminars or workshops.
- Other related duties and responsibilities that may become necessary as directed by the Director of Nursing, Assistant Director of Nursing, or RN Supervisors.
- Assist with Medical Records, Unit Secretary coverage, and resident feeding as needed
Physical & Visual Requirements
- Frequent sitting and use of hands
- Occasional standing and walking
- Occasional pushing, pulling, stooping, kneeling, crouching, and reaching
- Frequent lifting up to 10 pounds, occasional lifting up to 25 pounds
- Keen vision required and ability to hear alarms and staff
Hazard Exposure
May be exposed to infection, odors, and psycho-behavioral problems, AIDS, HIV and Hepatitis B viruses
