Description:
Under general supervision, performs a variety of secretarial and administrative/ office support functions for division manager of the Water and Wastewater Division of the Public Works Department.
Qualifications:
Must be a graduate of a standard senior high school or equivalent. Experience equivalent to two (2) years full-time secretarial/clerical support work or completion of a post high school training program in secretarial sciences including the use of word processors. Must be able to type 50 wpm.
Responsibilities:
Prepares correspondence, minutes of meetings, maintenance of confidential files; compiles statistics and information as directed; acts as intermediary between the Division Manager and the public, including screening telephone calls, letters, and/or visitors and scheduling meetings; answers routine questions and furnishes information when possible including routing of calls, letters and visitors to appropriate staff; organizes and maintains supervisor's and/or departmental files, correspondence, and records; prepare materials for Division and Department meetings; following up on pending matters; scheduling of department facilities; maintains databases of information related to department programs including asset management, services, and activities; prepare time sheets for payroll as needed; processes invoices, fees, purchase orders, permits, blue staking, and requisitions; and other duties as required.

Knowledge of office management practices and procedures.
Knowledge of departmental operations and functions.
Knowledge of general bookkeeping/billing practices and procedures.
Knowledge of computer software used to complete assigned projects. Microsoft Suites including Excel, Word and Power Point.

Skill in following complex oral and written instructions, policies, and procedures.
