Corporate Secretary executes and maintains all required official corporate filings, documents, reports and records according to applicable laws and regulations. Responsible for shareholder relations, communicating with Board members and coordinating shareholder lists and registrations. Being a Corporate Secretary researches and responds to shareholder requests for information. Manages the coordination of Board and shareholder meetings and the preparation of all necessary agendas and documents required for the meetings. Additionally, Corporate Secretary the incumbent in this role is usually an officer of the corporation. May require a Juris Doctor degree. Typically reports to top management. The Corporate Secretary manages a departmental function within a broader corporate function. Develops major goals to support broad functional objectives. Approves policies developed within various sub-functions and departments. Comprehensive knowledge of the overall departmental function.     Our highly prestigious national law firm has an immediate opening for a Legal Secretary in our San Francisco office supporting several Partners and Associates in our Corporate Department.

    Essential Job Functions:

    • Maintain calendar, coordinates attorney’s schedule, arranges domestic and international travel and makes appointments.
    • Answers and screens attorney’s telephone calls, and arranges domestic and international conference calls.
    • Maintain timely input of attorney timesheets into the timekeeper system.
    • Moderate document production.
    • Organizes and maintains file system, and files correspondence and other records.
    • Assist other secretaries as needed

    Qualifications:

    • 5 years of previous Legal Secretary experience.
    • Excellent oral & written communication and interpersonal skills.
    • Must be extremely detail oriented, organized and have great follow through skills.
    • Writes clearly and informatively; edits work for spelling and grammar, varies writing style to meet needs, able to read and interpret written information.
    • Must have the ability to work well under pressure and meet deadlines and identify and resolve problems in a timely manner.
    • Strong overall administrative skills including, time sheets, travel, expense reports, copying, scanning and coordination of filing.
    • Solid knowledge of Microsoft Office and various legal software applications.Heavy knowledge of Word, plus basic Excel and PowerPoint knowledge.
    • Must have exceptional knowledge of Outlook calendaring and scheduling.
    • Experience with billing is highly preferred
    • Has the ability to maintain strict confidentiality
