Corporate Secretary executes and maintains all required official corporate filings, documents, reports and records according to applicable laws and regulations. Responsible for shareholder relations, communicating with Board members and coordinating shareholder lists and registrations. Being a Corporate Secretary researches and responds to shareholder requests for information. Manages the coordination of Board and shareholder meetings and the preparation of all necessary agendas and documents required for the meetings. Additionally, Corporate Secretary the incumbent in this role is usually an officer of the corporation. May require a Juris Doctor degree. Typically reports to top management. The Corporate Secretary manages a departmental function within a broader corporate function. Develops major goals to support broad functional objectives. Approves policies developed within various sub-functions and departments. Comprehensive knowledge of the overall departmental function.     Normal Work Schedule: Monday - Friday 8:00am to 4:45pm

    Job Summary: Under limited supervision, assists the manager, department head or director in the day-to-day operations of the office/department. Oversees the general office, administrative and secretarial duties with some variety and complexity. Position will typically supervise staff support, work-study students and/or student assistants. Typical duties may include receiving, screening and routing telephone calls, mail and visitors, arranging itineraries/agendas, assist in planning meetings/ events, setting up and maintaining files (database and/or hardcopy), typing a variety of material, compiling data and preparing reports, purchasing office supplies and materials, maintaining budget records, act as daily liaison to other offices.

    Additional Department Summary: The Administrative Secretary is the first point of contact for lawyers participating in CLE Alabama events. Provides a full range of clerical support to the office including but not limited to the Director, Program Manager and Program Coordinator. Ensures everything runs smoothly from taking responsibility for registration services and publication orders and sales to organizing supplies and supervising student workers.

    Required Minimum Qualifications: High School diploma or the equivalent and three (3) years of progressively responsible general office experience; OR Associates degree and one (1) year of progressively responsible general office experience; OR Bachelor's degree or higher.

    Skills and Knowledge: Strong organizational skills. Outstanding verbal and written communication skills. Excellent time management skills. Ability to learn and develop expertise in using CE21, CLE Alabama's customer relationship management system. Attention to detail. Ability to work on multiple projects simultaneously. Ability to work well with others in a shared office environment. Working knowledge of Microsoft Office products such as Word, Excel and Outlook. Extraordinary motivation to complete tasks well and on time. High degree of professionalism.
