    Position Overview:
    We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have previous experience in customer service, medical records management, and billing processes within a healthcare or behavioral health setting. This role plays a critical part in ensuring the smooth operation of our practice by providing administrative support to our clinical team and assisting with various office tasks.

    Responsibilities:

    • Greet and assist clients in a courteous and professional manner, both in person and over the phone.
    • Manage appointment scheduling, cancellations, and rescheduling, while maintaining an organized and efficient appointment calendar.
    • Maintain accurate and up-to-date medical records, ensuring compliance with privacy regulations (HIPAA) and data security protocols.
    • Process insurance claims and billing statements promptly and accurately, following established procedures.
    • Assist with verifying insurance coverage and obtaining necessary authorizations for services.
    • Collaborate with clinicians and other staff members to coordinate patient care and address administrative needs.
    • Prepare and maintain office correspondence, reports, and other documentation as needed.
    • Order and maintain office supplies and equipment, ensuring adequate inventory levels.
    • Assist with other administrative tasks and special projects as assigned by management.

    Requirements:

    • High school diploma or equivalent; additional education or certification in healthcare administration is a plus. Two years post HS certification in administration is ideal.
    • Proven experience as an administrative assistant or similar role, preferably in a healthcare or behavioral health setting.
    • Strong customer service skills with the ability to communicate effectively and empathetically with clients and colleagues.
    • Proficiency in computer applications such as Microsoft Office Suite (Word, Excel, Outlook) and electronic medical records (EMR) systems.
    • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
    • Attention to detail and accuracy in data entry and record-keeping.
    • Knowledge of medical terminology, insurance billing processes, and HIPAA regulations.
    • Ability to maintain confidentiality and handle sensitive information with discretion.
    • Positive attitude, team player mentality, and willingness to contribute to a collaborative work environment.
