Checks credit applications and grants approval within established guidelines for organizations or individuals. Being a Credit Clerk communicates with the customers and other departments to solve the credit problems. May negotiate terms of payment to assist with collection of overdue balances. Additionally, Credit Clerk requires a high school diploma or its equivalent. Typically reports to a supervisor or manager. The Credit Clerk possesses a moderate understanding of general aspects of the job. Works under the close direction of senior personnel in the functional area.     Position Title:            Accounts Receivable / Credit Clerk

    Department:             Administration

    Hours per shift:         9 hour shift, with two 10-minute breaks and a 1-hour lunch, overtime may include some nights, weekends, or holidays, as Business needs dictate

    Wage:                          DOE, Salary Non-Exempt

    Position Purpose:      This position is responsible for all accounts receivable duties including daily cash application, cash reconciliation and collection calling.  This position is also responsible for updating current customer credit files, processing new customer files, archiving and scanning files into the digital database.  The position will also perform general duties including month-end tasks, back up for other sales administrative positions and assist the controller with other duties as needed.
     
    Essential Functions*
    These duties are designated as ADA Essential Functions and must be performed in this job.
    Accounts Receivable
    • Daily cash applications: lockbox, wires, ach and local cash receipts for SGS and SGM
    • Reconcile cash with Corporate AR
    • Balance SGS AR to the GL for month-end close
    • Perform collection calls as needed
    • Collect information for weekly and monthly SGS collateral reports for Corporate Controller
    • Perform intercompany AP/AR offsets
    • Track AAC rail cars for due date and aging purposes
    • SGS AR month-end close
    Credit
    • Perform credit file updates for existing customers as outlined in the Credit SOP:
      • Collect bank references
      • Collect trade references
      • Run D&B reports
      • Summarize all data for submission to Corporate Credit Manager
    • Process new customer applications
    • Digitally scan all credit file
    • Weekly aging reports and notes for SGS
    • Attend NACM credit meetings (various US and Canadian cities) and other travel as needed
    Invoicing
    • Prepare and finalize all invoices for open shipments and mill to mill transfers, create and distribute related attainment and sales reports for trader review
    • Assist in credit and rebill adjustments with sales team
    • Close all invoicing daily and monthly
    General Duties
    • Act as back up for other sales administrative positions as needed
    • Attend sales and admin staff meetings
    • Act as customer service to all functional departments in office and operations
    • Overflow phone coverage
    • Assist Controller with special projects
    Other duties as assigned

    Non-Essential Functions*
    These duties are secondary in nature and are not classified as ADA essential.
    Cross train to back up other office personnel. Tasks may include general accounting, AP or other general office tasks.
    Perform other duties as assigned by Division Controller(s), Corporate Controller, V.P. of Finance/CFO and other company executives.

    Working Environment:
    • Inside 99%, average temperature 70 degrees F.
    • Atmospheric conditions: Ventilation, little to no dust or particulate matter exposure.
    While performing the duties of this job, the employee is regularly required to talk and/or hear.  The employee frequently is required to stand, walk, and sit.

    Physical Demands:  See the Physical Capabilities as listed below; this position requires constant use of hearing and vision, bilateral use of arms and hands, frequent bending, twisting, pushing/pulling and reaching, and occasional lifting/carrying/pushing/pulling more than 30 lbs.
     

    Education, Skills, Abilities:

    • High school completion required, college degree preferred
    • Experience with MRP/ERP system preferred but not required
    • Must possess excellent data entry, 10-key and computer skills (prefer Windows, Excel and Word)
    • Must be able to troubleshoot and possess strong communication skills
    • Must be able to work at a fast pace with frequent interruptions while maintaining accuracy
    • Telephone and office procedures background with strong communication skills
    • Great attention to detail and accuracy are essential

    Safety:  (1) Do only maintenance you are trained to do and keep all body parts out of machinery. (2) Always use our 14 step lockout/tag out procedure before doing any maintenance, clearing jams, or getting into machinery for any reason; be aware of stored energy. (3) Always use proper body mechanics (ex: don’t over reach, get help as needed to push loads out). (4) Use proper PPE (gloves, eye protection, hearing protection).  (5) Be aware of and communicate with your co-worker at all times (ex: forklift driver). (6) Will be required to read and write during safety training.
