      SUMMARY: Responsible for the efficient management of administrative duties for the Custodial Services Supervisor, who oversees the Custodial Services department. Provide budget planning information. Prepare, compile, and complete financial, human resources, and payroll related tasks. Initiate, compose and edit correspondence; respond to departmental inquiries. Coordinate and schedule custodial trainings which ensuring compliance with federal and state standards, laws and regulations. Assist manager with administrative matters, often handling sensitive and confidential information and/or material.

      Job Tasks Descriptions

      • Prepare, compile, and complete Human Resources and Payroll paperwork. Approve timecards, enter leave time and attendance, and monitor overtime using District time clock system. Track staffing rosters and FTE allocations. Coordinate and/or assist with the hiring and training process, and maintain a database of personnel data and files, maintaining a high degree of confidentiality.


      • Coordinates substitute custodian scheduling process (e.g. staffing long-term substitutes, emergency substitute needs, hiring/orientation, etc.) to comply with all district, state, and federal regulations. Dispatches substitutes to provide coverage at school sites and for emergency requests for substitutes.


      • Reconciles substitute payroll information by validating/calculating rate of pay, shifts worked, and prepares time sheets for payroll processing to ensure accuracy and timeliness of payroll records. Responsible for approval, verification and validating reported time in district time clock system. Serves as a department timekeeper or back-up timekeeper.


      • Maintains a variety of records/files such as substitute records, requests, performance documentation, budget numbers, timekeeping, personnel/payroll records for substitute staff. These files could include a variety of confidential and non-confidential files and records (both manual and electronic).


      • Provide budget planning information and assist in creating departmental budget. Prepare, reconcile, and monitor department operating and capital budgets. Maintain financial reports and paperwork. Reconcile purchasing card expenses.


      • Process purchase orders and warehouse orders. Compile vendor information and initiate vendor setup. Enter purchase requests and organize all backup documentation for submission. Maintain filing and recordkeeping for all departmental purchase orders. Process invoices for payment.


      • Assist with training and onboarding of department new hires.


      • Evaluates, schedules, and complete work orders. Coordinate equipment repair work orders with vendors when required.


      • Research, compile, organize and analyze complex data and prepare reports and presentations. Initiate, compose and edit correspondence, departmental publications, calendars, newsletters, and memos. Take and transcribe meeting minutes.


      • Serve as a central point of contact for department staff, District staff, and community members. Process, route and submit work orders for Custodial needs using District work order system. Answer telephone, take messages, greet visitors, route, direct and provide information.


      • Oversee department supply needs and District waste removal. Coordinate with vendors to order, inventory and distribute supplies as needed, including custodial supplies, uniforms, and equipment. Make and track purchases, approve supply orders, maintain inventory, and problem solve issues. Work with District contracted waste removal company to set trash and recycling pick up schedule. Respond to site needs regarding overflow and problem solve solutions.


      • Provide administrative and clerical support to department manager, supervisors, and staff. Schedule appointments, meetings, and meeting rooms.


      • Participates in meetings, workshops and seminars as assigned for the purpose of documenting activities, providing written references, and/or conveying information.


      • Coordinate and prepare special projects/events.


      • Prepare and respond as District essential personnel.


      • Performs other duties as assigned


      EDUCATION AND RELATED WORK EXPERIENCE:
      High school diploma, plus post-secondary courses in business administration, office management or equivalent to up to one year of college
      More than three years and up to and including five years of experience in clerical, secretarial or bookkeeping experience required.
      Office management experience preferred
      Equivalent combination of education and experience acceptable.

      LICENSES, REGISTRATIONS or CERTIFICATIONS:
      Criminal background check required for hire.
