DOCUMENT CONTROL CLERK
Job Description
We are seeking a Document Control Clerk to join our team to maintain, organize, and update all documentation associated with the steel fabrication process. This role involves ensuring that documents are accurately recorded, stored, and easily accessible to relevant personnel within the company. Attention to detail, organizational skills, and ability to work effectively with cross-functional teams are essential for maintaining efficient document control processes and supporting the overall success of fabrication projects.
QUALIFICATIONS
- High school diploma or equivalent
- Proficiency in Microsoft Office Suite – particularly Excel
- Strong attention to detail and organizational skills
- Exceptional time-management skills
- Excellent written and verbal communication abilities
- Ability to prioritize tasks and work efficiently under pressure
- Experience in Manufacturing a plus
- Experience with ERP software a plus
- Knowledge of steel fabrication processes and industry standards a plus
RESPONSIBILITIES:
- Print all drawings for fabrication and organize them appropriately and accurately according to project requirements.
- Maintain an organized system for storing and retrieving fabrication-related documents, including blueprints, engineering drawings, specifications, quality control records, and supplier documentation.
- Manage document revisions and ensure that the most up-to-date versions are available to relevant stakeholders. Implement a version control system to track changes and updates effectively.
- Facilitate the distribution of documents to appropriate departments, teams, and individuals involved in the fabrication process, ensuring that everyone has access to the necessary information.
- Coordinate the review and approval process for documents, ensuring that they meet quality standards, regulatory requirements, and project specifications before distribution.
- Respond to requests for specific documents promptly and accurately, retrieving them from the document management system as needed.
- Enter new documents into the system and update existing records with relevant information, such as dates, revisions, and approvals.
- Work closely with quality control personnel to ensure that all documentation complies with quality management standards and industry regulations.
- Provide training and support to employees on document control procedures, software tools, and best practices to promote efficiency and accuracy in document management.
- Assist in preparing documentation for internal and external audits, ensuring that all required documents are complete, accurate, and readily available for inspection.
- Identify opportunities to streamline document control processes, improve efficiency, and enhance overall document management practices within the organization.
