    Summary:

    The Director of Prospect Management and Data Services, in conjunction with the AVP for Philanthropic Operations and other leadership, sets the strategic direction of prospect management and development. This position ensures the implementation of research methods, techniques and procedures. This position plays a lead role in supporting the strategic funding priorities of the college through donor identification, analysis and strategy development. Liaising with divisional staff, the Director of Prospect Management and Data Services supports the donor cycle of qualification, cultivation, solicitation and stewardship. This position manages the overall constituent database, including quality control, data mapping, and data transitions.


    Minimum Qualifications Required:

    Education required to ensure success in this position:
    • Bachelor’s required

    Experience required to ensure success in this position:
    Three to five years of prospect management and research experience preferably in a complex higher education or community based non-profit setting. Preferred two to three years managing a prospect research operation.
    Special skills, knowledge and abilities:
    • Understanding and appreciation for the Berea College purpose and Great Commitments, including the tremendous impact philanthropy has on the ability of the College to achieve its mission.
    • Demonstrated ability to work independently and as a self-starter in a team-oriented environment, work congenially with staff, senior development management, gift officers, and others throughout the Division as well as leadership across the college.
    • Strong organizational skills and ability to manage multiple and diverse deadline-driven tasks.
    • Excellent analytical and problem-solving skills.
    • Superior written and verbal communication skills.
    • Excellent organizational and customer-service skills. Extensive computer experience, including database knowledge and ability to develop and refine specs for database queries; manipulation and analysis of resulting data. Experience with Banner and Argos software preferred. Strong internet research skills, Microsoft Office, including Excel, Word and PowerPoint.
    • Demonstrated understanding of data integrity methodology.
    • Extensive experience with wealth assets screenings and ratings.
    • Experience creating, monitoring, and updating donor and gift pyramids for campaigns and other fundraising initiatives as well as managing prospect research pipelines in a campaign setting.
    • Proficient use of available resources including but not limited to, alumni and development records, Lexis-Nexis, various print media, public records and direct interaction with appropriate internal and external staff.
    • Capacity to analyze future software and implement strategies for its use for prospect development and management.
    • Commitment to handling highly confidential information with tact and discretion.

    License, certification, or registration necessary:
    • Valid Driver’s License

    Primary Duties and Responsibilities:
    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.     • Support and promote prospect management and development, including conducting prospect strategy meetings, preparing routine reports, and training gift officers and other staff on prospect development guidelines and procedures.
    • Lead efforts to design and implement comprehensive data mining and screening efforts and proactive prospect identification projects for various fundraising initiatives and ensure effective integration of prospect screening data as appropriate.
    • Create prospect-related materials for campaigns and Board Development Committee meetings.
    • Develop gift pyramids and conduct prospect pipeline analysis to assess current and future prospects needed to achieve fundraising goals.
    • Identify prospects by incorporating database segmentation analysis, external resources, electronic screenings and peer-review/focus group results.
    • Conduct detailed research on select individuals and organizations with capacity and compile into useful and insightful research deliverables for the Trustees, executive leadership and division staff. Ensure timely and accurate delivery of prospect data.
    • Interpret and analyze information on individuals, and where appropriate, corporations and foundations, based on fundraising strategies and objectives.
    • Collaborate closely with the Individual and Planned Philanthropy Office on regular portfolio reviews with philanthropy officers to advise prospect strategy, track pipeline development, and optimize portfolios.
    • Ensure prospect research, proposals, and pipeline information is accurately updated in the Banner database.
    • Identify needs for new or enhanced reports.
    • Build standards, documentation and processes for system usage and data storage.
    • Provide guidance on identifying and storing data to allow for better data extraction.
    • Manage data cleanup projects and perform necessary testing for new data or processes.
    • Support staff as they prepare data imports where individual updates and entry is not possible.
    • Assist with transitions of database or software systems, when necessary. Manage the transition to a CRM, which will require data cleanup, data mapping, data transfers, and testing.
    • Adhere to ethical and confidentiality guidelines of both the University and the Association of Professional Researchers for Advancement (APRA).

    Other roles/duties will be assigned as necessary to assist the College in the attainment of the goals set forth and the enhancement of a positive, respectful learning environment for all staff, faculty, and students.
