General Responsibilities:
Performs a variety of computer system operation and support functions for the student records system in a school. Responsible for maintaining a variety of applications and programs based on the student information or records. Work requires computer literacy and the ability to follow instructions necessary to input and transmit data. Work also includes the manipulation and analysis of information to produce meaningful reports from the collected data.
FUNCTIONAL PURPOSE:
The primary purpose of this position is to input and maintain accurate data regarding school attendance, demographics, enrollment, withdrawals, along with various other types of
information required by the district and the state's department of education/instruction.
DUTIES AND RESPONSIBILITIES:
ESSENTIAL DUTIES
• Enter information regarding student attendance, related medical information, enrollment,
and withdrawals.
• Communicate with staff using the Student Information System.
• Answer calls and emails regarding student attendance or questions related to student
information according to guidelines allowed under FERPA.
• Compile files as requested from administrators, guidance, and teachers.
• Run state reports as requested through student information system (currently
Powerschool), review and approve them and correct issues if there are any that need
attention.
• Provide administrative assistance duties typically found in an office environment to
include, but not limited to, answering phones, making copies, responding to emails,
generating memos, interacting with staff, parents, and community members.
• Generate and verify accuracy of reports based on student information systems to include,
but not limited to reports for grades, attendance, bus stop information, enrollments,
withdrawals, etc.
REQUIRED SKILLS AND ABILITIES:
• Ability to communicate clearly orally as well as in written and electronic formats.
• Ability to accurately enter and verify student information data.
• Ability to use a computer or other electronic devices for the purpose of communication,
data recording, location of information, and producing reports and memos.
• Ability to read and follow directions.
• Ability to use basic math skills to add, subtract, divide, and multiply
• Ability to learn to use new computer programs to increase efficiency in data retrieval
regarding student information.
• Skilled in the use of Microsoft Excel, Word, and Outlook
SPECIAL KNOWLEDGE REQUIREMENTS:
• Knowledge of using multiple computer programs to enter and retrieve data.
• Knowledge of Family Educational Rights Privacy Act (FERPA) regulations and how they
may apply to sharing student information with various stakeholders who may be
requesting information.
• Knowledge of common administrative tools and processes such as copiers, fax
machines, scanners, phone systems, and email
Requirements:
Two years of college or technical school with computer operations coursework OR two years office/clerical experience OR two years of experience in a school setting with proven Excel proficiency.
