In July 2018, the schools unified under the umbrella of The St. Paul's Schools, with a single board of trustees and one president, but each school retains its individual traditions and its gender-specific programs. A coordinated structure allows The St. Paul’s Schools to preserve the small-school feel within each school while sharing resources and certain programs to maximize opportunities for students.     Position Description

    Reporting to the Director of Advancement Operations, the Database Manager oversees the use and maximizes the capability of The St. Paul’s Schools’ advancement constituent management database.

    Position Responsibilities

    The Database Manager is responsible for overseeing and maintaining the Advancement Office database (Raiser’s Edge and NXT) and working to keep files and records current and accurate at all times. The Database Manager works with the Advancement team to achieve long-term development, capital, and annual giving goals. Responsibilities will include the following:

    • Serve as the System Administrator for the database by acting as primary liaison between St. Paul’s, Blackbaud, AlmaBase, and Veracross.
    • Oversees the constituent management database to ensure integrity and accuracy of information and utilization of robust, consistent protocols.
    • Enter gifts and generate receipts and acknowledgment letters in a timely manner.
    • Organizes and maintains all gift paperwork electronic filing.
    • Generates all data and lists for the Impact Report.
    • Produce and run timely and accurate lists, reports, as requested.
    • Collaborate with colleagues throughout campus, including the Business Office, Communications, Admissions, and IT.
    • Oversees and maintains email distribution groups in partnership with Communications.
    • Conduct year end rollover, data cleanup efforts and overall maintain data integrity.
    • Efficiently utilize the Raiser’s Edge software and assist with data management to meet the changing needs and goals of the Advancement Office to include conducting ongoing research to find lost constituents.
    • Maintains accurate paper files to substantiate constituent management data.
    • Trains and provides ongoing support to all advancement team staff on Raiser’s Edge.
    • Understands and promotes best practices in independent school fundraising, including CASE’s Statement of Ethics and Principals of Practice for Fundraising Professionals at Educational Institutions and AFP’s Code of Ethics and Donor Bill of Rights; and
    • Understands and embraces The St. Paul’s Schools mission, philosophy, and values, and, in partnership with the VPA, establishes a culture of teamwork, trust, collegiality, and accountability within the Advancement team.
    • Other work-related duties as assigned.

    The ideal candidate will have a bachelor’s degree with at least two years’ experience in database management. A successful candidate must have excellent interpersonal and organizational skills and the ability to work with independence. This position requires absolute confidentiality and professionalism. Proficiency in Raiser’s Edge, Microsoft Word and Excel is required. Proficiency in NXT and Veracross is preferred. This position is year round, but does have work remote flexibility.
