    STATUS: Non-exempt

    EMPLOYEE CLASSIFICATION: 12-months, full-time

    SALARY: $25.00-$32.00

    SUMMARY: The Advancement Database Specialist will perform the critical role of maintaining the Raiser’s Edge RE and NXT database and related applications for the Advancement department. This position will be responsible for ensuring the integrity and accuracy of donor information in collaboration with the Advancement team. They will manage, design, build, and deliver custom reports and lists to facilitate the work of the Advancement team. This includes database cleanup, daily entries, analyzing trends, custom fundraising reports, and records maintenance. The role includes monitoring the integrity of the information contained in the database and determining how to translate data into usable, actionable information for the formation and execution of fundraising strategies and metrics.

    ESSENTIAL FUNCTIONS:

    • Oversees daily functions of the Raiser’s Edge NXT CRM and related applications.
    • Oversees the implementation of data entry best practices and standards and is responsible, in partnership with the Vice President of Advancement, for ensuring the accuracy and integrity of data in the platform.
    • Designs and produces accurate queries, imports, exports, reports, and lists for mailings, newsletters, event invitations, and moves in a timely and systematic manner.
    • Proactively leads regular database hygiene and maintenance efforts, including duplicate management and periodic audits.
    • Works closely with Business Office to reconcile donations and deposits.
    • Supports major gifts efforts by developing, maintaining, and updating information on new and existing donor prospects as well as producing donor and prospect profiles.
    • Responsible for database cleanup, the overall accuracy, integrity, and reliability of donor data.
    • Tracks and reconciles donations including checks, gifts of stock and securities, credit cards, etc.
    • Manages donor acknowledgement process by generating receipts electronically.
    • Generates pledge invoices and assists Vice President of Advancement with pledge tracking.
    • Serves as the subject matter expert for Raiser’s Edge donor database across department.
    • Designs, builds, and delivers complex reports and lists to facilitate the work of the advancement, including creating custom reports and analyzing trends.
    • Assists with data needs, ad-hoc reports or queries, and financial reports as requested
    • Designs and updates timely fundraising dashboards and provides donor updates to Advancement team.
    • Serves as the main point of contact for all database issues and questions and provides outstanding customer service to users.
    • Provides database training, including policies and procedures, to all users and oversees security features, accounts, roles, and privileges for users.
    • Assists in developing written policies, procedures, and training materials for processing and data management.
    • Stays abreast of new and developing tools, technology, and processes and makes recommendations regarding updates/upgrades or new tools needed.
    • Assists with the implementation of Raiser’s Edge NXT CRM upgrades in collaboration with IT
    • Maintains confidentiality regarding all gifts and other office assignments.
    • Assists with special events including pre- and post-event tracking and event day support.
    • Prepares reports for annual audit and addresses auditor questions.
    • Supports stewardship activities.
    • Additional duties as assigned.

    ESSENTIAL SKILLS:

    • Excellent computer skills, including proficiency in database management programs, preferably Raiser's Edge
    • Demonstrated ability to input raw data into donor database using independent judgment skills.
    • Demonstrated ability to handle confidential data.
    • Ability to work well with others, to exercise sound judgment, and to be flexible.
    • Excellent data entry skills and experience
    • Strong attention to detail
    • Excellent verbal and written communication skills
    • Ability to take initiative, work independently and perform as a team player.
    • Excellent organizational skills and demonstrated ability to prioritize and effectively manage multiple tasks.

    • Ability to occasionally work weekends in support of 3-4 events per year.
    • Ability to pass background screen check of drivers' license and criminal history.

    QUALIFICATIONS:

    • Three plus years of experience with donor data systems, preferably Raiser’s Edge/Blackbaud data systems, in a nonprofit fundraising setting.
    • Blackbaud Professional Certification preferred.
    • Bachelor’s degree in Business, Accounting, Computer Science or related, or equivalent work experience
    • An active member of a Roman Catholic faith community is preferred but not required

    PHYSICAL DEMANDS:

    • The ability to lift 25/50 pounds
    • The ability to stand/sit for long periods of time
    • The ability to be mobile for outside conferences, retreats, or fundraising events
