      DUTIES AND RESPONSIBILITIES:

      Oversees and performs work in the receipt, processing, distribution, and purchasing of library books, equipment, and supplies for school and administration building libraries.
      • Oversees and assists in the receipt and electronic processing of daily shipments of library books, equipment, and supplies; monitors and organizes work flow and provides guidance to library clerks; determines work priorities, addresses non-routine cataloging cases, and makes a variety of routine, day-to-day decisions related to cataloging and processing.
      • Oversees quality control function to ensure proper processing of materials; makes recommendations for modifications to processing and cataloging functions as needed.
      • Oversees and assists in ordering library books, materials, supplies, and equipment and reconciles related purchase orders and invoices; monitors expenditures to ensure funds are available for purchases; matches material receipts and invoices to the correct purchase orders; reconciles billed amount with purchase order; submits to Finance for payment.
      • Researches and resolves billing and payment issues, requiring interaction with vendors and school personnel; composes correspondence as needed related to purchases.
      • Serves as main point of contact regarding software and equipment upgrades; trains other staff members and librarians on software and equipment features and changes.
      • Provides information and assistance to school librarians on a variety of cataloging, database, and general computer problems; prepares a variety of written and electronic correspondence to school librarians to provide a variety of information related to library databases, changes in functionality, and other critical information.
      • Assists school librarians with ordering of materials and cataloging; may travel to schools to assist with annual inventory; assists in covering the professional library as needed.
      • Orders supplies and processes invoices for the department.
      • Performs other related duties as required or assigned.

      JOB REQUIREMENTS:
      • Requires any combination of education and experience equivalent to an associate’s degree in a related field and considerable experience in library cataloging and processing.
      • General knowledge of business office procedures, practices, and equipment.
      • Some knowledge of library classification systems and ALA filing rules.
      • Some knowledge of computer-based information retrieval systems and databases.
      • Some knowledge of basic bookkeeping principles, terminology, and practices.
      • Some knowledge of basic accounting procedures necessary to research and identify errors and take corrective action.
      • Ability to read and utilize database and cataloging reference materials.
      • Ability to effectively utilize computerized circulation and cataloging technology.
      • Ability to type and perform data entry at a reasonable rate of speed and accuracy.
      • Ability to communicate effectively with school-based personnel.
      • Ability to follow basic but fundamental oral and written directions and procedures in processing accounting, purchasing, and/or fiscal documents.
      • Ability to perform basic arithmetic calculations accurately.
      • Ability to perform detailed work, identify and correct routine errors, and identify opportunities for improving efficiencies operations performed.
