As we continue to expand our operations, we are seeking a skilled Sales Operations Manager to join us and serve as a liaison between sales and all departments.

    Responsibilities:

    Sales Operations Management:

    • Oversee inbound lead routing and tracking. Ensure consistency in CRM input, Asana tracking, and consistency of presale requests.

    • Initiate, establish, and support a comprehensive sales process for new outbound sales efforts.
    • Prepare a detailed weekly forecast report on incoming business, tracking potential revenue and staffing impact.
    • Monitor changes in the sales pipeline stage and provide insights into their impact on sales performance.
    • Create and distribute a weekly email to the leadership team containing a pipeline forecast, weighted by service line.
    • Compile a monthly executive sales report with a focus on key achievements, challenges, and strategic recommendations.
    • Create and manage an internal RFP repository for our organization to quickly and accurately respond to external requests.
    • Assist in creating and maintaining sales standard operating procedures to provide consistency in presale.
    • Monitor and flag overdue tasks within Asana to ensure timely follow-up and action.

    CRM Management:

    • Manage and maintain the CRM system (currently HubSpot), ensuring data accuracy and integrity.

    • Identify stalled deals and collaborate with the sales team to facilitate progress. Ensure that every proposal has a corresponding deal in HubSpot for accurate tracking.
    • Work with the sales team to ensure contact information and outreach notes remain up to date.

    Manage Proposals:

    • Assist in the proposal process using Proposify & help with proposal/system maintenance.

    • Maintain and organize proposal templates and ensure document hygiene with the sales team to create compelling and customized responses to Requests for Proposals (RFPs).
    • Ensure timely and accurate completion of RFPs.

    Manage the Audit and Upsell Process:

    • Collaborate closely with the sales team to identify upsell opportunities with existing clients.

    • Facilitate the upsell process, including proposal creation, negotiation, and pipeline inclusion.

    Internal Marketing Efforts:

    • Oversee internal marketing efforts ensuring target audience and key selling points are clear.

    • Analyze and report on the performance of marketing channels.
    • Aide presale efforts with updated sales materials.
    • Liaison for sales initiatives identified as opportunities for existing clients.

    Cross Department Collaboration & Client Onboarding:

    • Attend department meetings as the voice of the Sales team.

    • Act as an intermediary between teams & executive leadership team to provide consistency and aid in prioritization.
    • Facilitate new client onboarding, consistency in setups, team assignments, and timing considerations.
    • Foster a collaborative and results-driven culture within the sales and business development efforts across the company.

    Qualifications:

    • Bachelor's degree in Business Administration, Marketing, or a related field or equivalent experience.

    • Proven experience in sales operations or a similar role within a marketing agency or related industry.
    • Proficiency in CRM software (e.g., HubSpot) and proposal management tools (e.g., Proposify).
    • Strong analytical skills with the ability to interpret complex data and generate actionable insights.
    • Exceptional leadership, communication, organizational, and interpersonal abilities with the ability to motivate and manage teams.
    • Experience working as a liaison between cross-functional teams and keeping all relevant stakeholders informed.
    • A high level of accountability, attention to detail, and personal responsibility.
    • Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities.
