Dean of Arts and Sciences manages administrative functions of the college of arts and sciences. Develops college strategic initiatives and participates in university long-term planning and policy setting. Being a Dean of Arts and Sciences leads college in fundraising and cultivating relationships with donors. Provides senior level administrative leadership in areas of curriculum development, institutional assessment and improvement, human resource, faculty development and performance appraisals, budget and finance, and facilities planning and management. Additionally, Dean of Arts and Sciences requires an advanced degree. Typically reports to top management. The Dean of Arts and Sciences manages a departmental sub-function within a broader departmental function. Creates functional strategies and specific objectives for the sub-function and develops budgets/policies/procedures to support the functional infrastructure. Deep knowledge of the managed sub-function and solid knowledge of the overall departmental function. To be a Dean of Arts and Sciences typically requires 5+ years of managerial experience.     This position is a shared administrative support position reporting half-time to the Dean of Arts and Sciences (A&S) and half-time to the Dean of Business and Applied Technologies (BAT). The position is responsible for performing administrative support duties for both deans, plus school faculty and staff. The academic deans of both schools make assignments and review work for accuracy and timeliness of accomplishment. Work assignments may come from the dean through the Administrative Assistant. This position must be able to exercise initiative and independent judgment in performance of assigned duties.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    1.
    Welcomes and provides information to the public and the College community on an in-person basis, by telephone and by electronic means.

    2.
    Assists administrative assistant with managing the school office workload and supervising and training student workers.

    3.
    Assists administrative assistant in entering and maintaining course schedule in administrative information system, room utilization information, and reports.

    4.
    Assists administrative assistant with updating and maintaining school program curriculum and syllabi within the syllabus system, school components of the College catalog, and curriculum sheets.

    5.
    Processes purchase orders, check requests, and supply orders for office and instructional needs.

    6.
    Maintains and updates documentation of course offerings, instructors, and observations with high school partners.

    7.
    Composes and types appropriate correspondence, reports, and meeting minutes.

    8.
    Assists with program and college accreditations plus governmental and grant reporting.

    9.
    All other duties as assigned by supervisor.


    SUPERVISORY RESPONSIBILITIES

    • Hires, trains and supervises student workers each semester; may supervise part-time clerical workers in the School of Arts & Sciences.


    EDUCATION and/or EXPERIENCE

    • High School graduate or GED equivalent; associate’s degree in Office Administration or related area preferred
    • Minimum of 3 years of office administration experience, preferably in an educational environment


    SKILLS AND ABILITIES

    • Proven ability in keyboarding skills; demonstrated ability in Microsoft Office Suite; working knowledge of Internet access; familiarity with educational administration software, including Datatel’s Colleague system a plus
    • Ability to become familiar with all academic and College office functions, policies, and procedures
    • Demonstrated high level of organizational skills to effectively prioritize multiple projects on a daily basis
    • Possess a high degree of personal integrity required for work involving necessary access to personal and confidential information
    • As liaison for the school, possess excellent skills in human relations, oral communication and written communication

    LANGUAGE SKILLS
    Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.


    MATHEMATICAL SKILLS

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


    REASONING ABILITY

    Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.


    PHYSICAL DEMANDS

    While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by the job include close vision, and ability to adjust focus.


    WORK ENVIRONMENT

    The work is performed in an office-like environment with a minimal amount of noise.
