Dean of Graduate Programs manages administrative functions of the graduate program. Develops college strategic initiatives and participates in university long-term planning and policy setting. Being a Dean of Graduate Programs leads college in fundraising and cultivating relationships with donors. Provides senior level administrative leadership in areas of curriculum development, institutional assessment and improvement, human resource, faculty development and performance appraisals, budget and finance, and facilities planning and management. Additionally, Dean of Graduate Programs requires an advanced degree. Typically reports to top management. The Dean of Graduate Programs manages a departmental sub-function within a broader departmental function. Creates functional strategies and specific objectives for the sub-function and develops budgets/policies/procedures to support the functional infrastructure. Deep knowledge of the managed sub-function and solid knowledge of the overall departmental function. To be a Dean of Graduate Programs typically requires 5+ years of managerial experience.     The College of Arts and Sciences at Creighton University is hiring an Executive Assistant to support the Dean. This is a day position working primarily Monday – Friday, on campus.

     

    The Executive Assistant performs complex, advanced, diversified, and confidential administrative duties. Communicates and coordinates executive’s instructions and desires with various individuals and/or departments. Schedules appointments and arranges meetings, conferences, and travel. Organizes and maintains correspondence and projects, following up on pending matters with limited direction. Prepares special reports and correspondence, summarizing and analyzing data. Communicates with individuals at all levels in the organization, industry, and community. Organizes and expedites work through executive’s office and initiates follow-up action. Assignments are broad in nature and usually require critical thinking, originality, and ingenuity. May oversee the work of others and serve as a resource in the resolution of complex problems and issues.

     

    Qualifications:

      • High school diploma or equivalent required. Some college and/or Associate’s degree or Bachelor's degree preferred
      • 8 years of administrative support experience required.
      • Experience providing administrative support, preferably to executive level campus administrators, including scheduling calendars and meetings, coordinating travel, prioritizing mail, screening telephone calls, and general office management.
      • Demonstrated ability to gather, evaluate, analyze and present data in response to information needs.
      • Proven ability to manage and prioritize a workload with multiple deadlines, frequent interruptions, and changing priorities.
      • Ability to anticipate problems and needs and take necessary action to eliminate or mitigate potential issues.
      • Demonstrated experience in developing, writing and implementing operational procedures.
      • Effective oral and written communication skills.
      • Ability to establish and maintain effective working relationships and to exercise judgment, tact, maturity, presence and self-confidence in dealings with faculty, students, campus and non-campus administrators, business and community leaders and representatives from other academic institutions and organizations.
      • Demonstrated superior organizational skills to establish effective workload priorities to facilitate multiple projects and tasks so that the needs of the Dean and Dean’s Office senior staff are anticipated and met in a timely manner.
      • Skill to interpret and apply policies as they relate to accounting functions.
      • Demonstrated ability to compose academic and other reports and business
      •  


    Knowledge, Skills, Abilities:

      • Knowledge and experience in higher education strongly preferred.
      • Demonstrated ability to multi-task and prioritize projects.
      • Ability to maintain strict confidentiality regarding employee details, compensation, benefits and employee issues. Strong sense of integrity.
      • Experience managing projects with multiple inputs and multiple stakeholders
      • Technical Proficiency with Microsoft Office, specifically Outlook, Word, Excel, PowerPoint, and OneNote.
      • Exceptional written, verbal, and interpersonal communication skills and the ability to build collaborative relationships; ability to develop and maintain relationships at all levels of the organization.
      • Outstanding interpersonal skills: must display patience, and the highest level of customer service and response; ability to interface with all levels across the entire organization.
      • Results-oriented and a self-starter who enjoys a challenge and is dedicated to identifying solutions with minimal support and direction.
      • Demonstrates initiative to accomplish goals with minimal supervision.
      • Works collaboratively and collegially as part of a team.
