Fleet Associate, Albany Carshare Program

  • Car sharing is similar to car rental except that car share members reserve and pay for car share vehicles by the hour or day on demand. Unlike car rental, car sharing includes insurance and EV charging. Members access vehicles from a nearby “hub” in their neighborhood. To join, individuals complete an online application. Members can make same-day reservations for a car share vehicle from their computer, smart phone or by telephone. Members use the car to run errands, for medical appointments, grocery shopping, visit relatives, get to a job interview, etc.

    The Fleet Associate position encompasses work on DRIVE CDTA, a new electric vehicle (EV) car sharing project in New York’s Capital Region which is coordinated by Mobility Development Operations (MDO) in partnership with the Capital District Transportation Authority (CDTA) and other key organizations. This position will be based in Albany and will coordinate directly with the Program Coordinator on operations and member services. The position will be supported by our growing national team.

    The Fleet Associate’s primary responsibility will be to support day-to-day carsharing operations for the Capital Region. The Fleet Associate will focus on operations to include fleet management and customer service. These responsibilities include:

    • Weekly checks of vehicles for cleanliness and safety
    • Interior and exterior cleaning of vehicles (minimum every 7 days)
    • Light mechanical duties including:
    • Battery jump or replacement
    • Windshield wiper fluid replacement
    • Windshield wiper replacement
    • Bulb replacement: headlamp, brake, turn signal
    • Tire pressure monitoring and inflation
    • Documentation inspection: insurance and registration
    • OEM/dealer coordination for scheduled maintenance, repairs, and recalls as needed
    • Monitoring and maintaining cleanliness of dedicated parking spaces
    • Remote and onsite monitoring of fleet:
    • Coordination of vehicle maintenance schedule and archives
    • Monitoring of fleet cleanliness, safety, and appearance
    • Maintain fleet protocol and adjust as necessary
    • Assist program security/soundness, including, monitoring EV charging cards and flagging and dealing with abusive members

    The Fleet Associate will support the Program Coordinator and external project partners to:

    • Coordinate operations on site at car sharing locations, establish rapport with site managers and manage any parking/vehicle issues at site locations.
    • Monitor and execute weekly and monthly reports, which includes:
    • Preparation of invoices and assessment of member fines and surcharges
    • Updating weekly fleet utilization reports
    • Creating weekly expense and revenue reports
    • Coordinate as necessary with members in responding to emergencies (dead battery/tow emergencies, hardware malfunction, etc.) and in accident reporting and filing claims
    • Support advertising strategy and direct marketing efforts when possible (marketing and outreach responsibilities may grow with the evolution of the position)
    • Modify operational protocol
    • Assist with management of software needs and changes
    • Collaborate with mobility networks and organizations across Upstate New York.

    • Working Relationships - As a professional representative of Mobility Development, develop and maintain courteous and professional relationships with all clients, vendors, partners, representatives, and stakeholders.
    • Familiar with vehicle maintenance and troubleshooting
    • Ability to perform responsibilities outside in all seasons of environmental conditions
    • Good listening, and communication skills (verbal and written)
    • Outgoing personality; enjoy meeting and spending time with people
    • Good memory and attention to detail
    • Ease and familiarity with computers, email, and social media, basic database management (i.e. excel / google sheets)
    • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
    • Solution oriented in aspects of problem solving involving concrete variables and evolving situations, and ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
    • Valid NYS Driver’s License and clean driving record.
    • Bachelor’s in marketing, urban planning, social work, community relations, or equivalent years of experience working in a related field.
    • understanding of commitment to transportation equity and environmental justice and/or experience in outreach, community education or community organizing
    • Some fluency in Spanish and English: listening, speaking, reading and writing
    • Comfort with and experience in sales environment or retail communications
    • Familiarity with municipal government in Albany, including decision-making processes, key local actors and institutions
    • Excellent oral and written communication skills
    • Demonstrated commitment to diversity, equity, inclusion, and social justice
    • Prior responsibility in sales and/or business operations
