Development Coordinator identifies potential donors and evaluates their interests and capacity to give to the organization. Uses a database or Customer Relationship Management (CRM) system to maintain research data and donor records, execute mailing or e-mail campaigns, and create reports. Additionally, Development Coordinator maintains confidentiality and complies with data privacy regulations and policies. Requires a bachelor's degree. Typically reports to a manager. The Development Coordinator work is closely managed. Works on projects/matters of limited complexity in a support role.     Support Vice President (VP) - Public Affairs and Senior Director - Learning & Philanthropy Architect by managing the day-to-day operations of their development work and providing administrative support.

     

    Essential Duties and Responsibilities:

    1. Support the VP - Public Affairs and Senior Director of Learning & Philanthropy Architect as they work with a caseload of donors by handling Major Gift correspondence and donor files.
    2. Manage the plan for each donor and remind the relationship manager of touches, steps, asks, stewardship, proof of performance, and other planned contacts for each donor.
    3. Ensure donors receive proper thank-you after each gift.
    4. Maintain individual donor files for each relationship manager by recording touches, moves, interactions, asks, etc.
    5. Produce and maintain tracking reports.
    6. Manage phone and digital messages to/from the relationship manager and the caseload donors.
    7. Work closely with relationship manager on all facets of impact reporting.
    8. Prepare for donor meetings through research, executive summary, printed or digital assets, and other needed resources or information.
    9. Coordinates all travel and trip planning arrangements for each relationship manager, in cooperation with the COH Travel department.
    10. Prepares expense reports for the VP - Public Affairs and Senior Director of Learning & Philanthropy Architect.
    11. Will perform other support functions as may be required, including things such as preparing email inbox, managing calendar, trip planning, project, and priority management, etc.                 
    12. All other duties as assigned.

     

    PERFORMANCE WILL BE MEASURED BY:

    1. Ability to handle donor correspondence in a professional and secure manner.
    2. Interacts with staff at all levels of the organization in a gracious and supportive manner.
    3. Ability to track donor information based on their giving and their potential.
    4. Ability to assist each relationship manager to allow them maximum time developing meaningful connections with donors, with a strong focus on maximizing the in-person time with donors.
    5. Ability to edit and send effective offers, proposals, and asks to donors.
    6. Ability to create timely reports that reflect caseload performance.
    7. Ability to track people, processes, and deadlines and to organize the relationship managers while closely adhering to the policies and procedures of Convoy of Hope.
    8. Ability to keep the relationship managers organized, focused on priority, and communicating with caseload donors according to the plan the Director has created.
    9. Ability to get along with peers, subordinates, and management and to maintain a positive and constructive attitude while still relentlessly solving problems.
    10. Ability to be a team player and protect the mission, goals, and values of Convoy of Hope, while being willing to collaborate with planned giving and other development support, regarding donor caseloads.
    11. Ability to maintain the confidentiality of all donor information. Since our Portfolio Manager will regularly work with confidential information, discretion and sensitivity regarding donor and financial information is a must.

     

    Required Knowledge, Skills, and Abilities:

    1. Bachelor’s Degree preferred; High-school diploma or equivalent required.
    2. At least three years of executive or administrative support experience is preferred.
    3. Demonstrated record of handling calls, correspondence, and internal operations. This also includes being able to take a large amount of information and summarize it quickly both in writing and orally regularly. You must also be able to track communication (and be very responsive) across multiple channels without losing any details. Those channels could include in-person meetings, virtual video calls, voice messages, text messages, and/or emails.
    4. Excellent interpersonal, oral, and written communication skills with an emphasis on accuracy. This includes proficiency in spelling, grammar, and punctuation.
    5. Strong problem-solving, training, and personal management skills. Must have initiative and the ability to follow through with little direct supervision.    
    6. Excellent organizational and time management skills are required.
    7. Affinity for Technology: Our Portfolio Manager will be a technologically savvy Mac user and will not be intimidated by learning new technology. Proficiency in the following tech platforms is ideal: Salesforce, Zoom, Google Suite, Asana.
    8. Works with optimism, humor, and flexibility, commitment to help and support in a fast-paced, fast-changing environment. Need to be able to collaborate and communicate well with these team members, maintaining a can-do spirit and not complaining, making excuses, or gossiping.
    9. Strong passion for the mission of Convoy of Hope.
    10. Attends and actively participates in COH At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
    11. Serve as an advocate for the ministry, striving to nurture, broaden and develop financial and other resource opportunities to support and expand organizational and program ministry.
    12. Ability to positively represent the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
    13. As a Christian organization, Convoy of Hope believes it is critical that each staff member embraces the organization's religious purposes for which it exists and not only agrees with its Statement of Faith but demonstrates it in their lives on an ongoing basis.
