    Position Purpose:

    Work with group sales managers and group contacts to ensure all group reservations are accurate and complete.

    Essential Functions:

    • Work closely with group leaders and members to create and maintain group reservations.
    • Build group SRP’s and allocate hotel inventory to specific groups based on sales contracts.
    • Set up and monitor group billing.
    • Input rooming lists provided by group contacts.
    • Flag VIP guests and ensure that they receive the appropriate room types.
    • Monitor group room inventory to ensure that necessary room types are available.
    • All other duties as assigned by your manager.

    Supportive Functions:

    In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the hotel.

    • Assist in the capacity of reservationist when needed.
    • Initiate and prepare reports such as group rooming lists, group arrival lists, etc.
    • Assist office in any other administrative duties as needed such as covering shifts in reservations and at the front desk as needed.
    • Maintain an open line of communication between guests, employees, and management.     
    • Attends property Staff meetings and other property specific meetings.

    The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

    • Skill in effective delegation of tasks.
    • Ability to effectively deal with guest and employee concerns in a friendly and positive manner.  This involves listening to the nature of the concern, demonstrating empathy with the customer and providing positive and proactive solutions.
    • Ability to access, read and accurately input information using a moderately complex computer system.
    • Ability to make accurate mathematical calculations.
    • Analytical ability sufficient to assess reservation trends and make relevant decisions.
    • Ability to communicate effectively both orally and in written form.

    Qualification Standards:

    Education: Any combination of education and experience equivalent to graduation from high school or any other combination of education, training or experience that provides the required knowledge skills and abilities. High school diploma required; college degree preferred.

    Experience:

    • One-year prior reservations or front office experience required
    • Prior experience in a reservations department or similar role
    • Prior supervisory experience preferred.
    • Previous On-Q and R&I experience strongly preferred.
    • Grooming: All employees must maintain a neat, clean and well-groomed appearance.
