Program Director of International Conferences.

The Program Director of International Conferences provides leadership in overseas academic conferences including high-profile and high-impact events. The Program Director works with NDI's Global Partnership & Faculty Outreach Team and serves as a liaison with faculty, partners, and worldwide stakeholders to lead the planning, budgeting, and execution of scholarly conferences primarily at Gateways and Centers, and occasionally other international locations. This position will lead the development of processes and tools to assist faculty in having a consistent experience across NDI, and will train and guide on-site staff both on campus and abroad in execution. The Program Director will collaborate with NDI's communications team, colleges, and schools to promote engagement and opportunities at Gateways and Centers and amplify the impact of conferences in international locations. The Program Director also will develop sustainable revenue growth models for international academic conferences to optimize the use of Gateways and Centers for international academic conferences. This role will maintain and provide analysis on data required for NDI's research and stewardship reports.
Specific responsibilities include:
- Lead the designing, planning, budgeting, and executing academic conferences worldwide with faculty and academic unit. Promote and expand opportunities at Gateways and Centers for all Notre Dame faculty in collaboration with communications and local teams.
- Serves as team leader and direct vendors on campus and abroad for travel and transportation, lodging, catering, meeting and event space, and honoraria for speakers.
- Manage financial accountability for conference budgets within portfolio; work with NDI's finance team to invoice and execute funds transfers.
- Lead and guide staff at Gateways and Centers to standardize the planning and execution of academic conferences. Lead efforts to develop consistent processes and operations, making accommodations where necessary for specific needs of each place and team.
- Advise leadership team on sustainable business models with an ROI approach. Develop sustainable revenue growth models for international academic conferences to optimize the use of Gateways and Centers for international academic conferences.
- Support amplification of conference impact and provide systematic reporting of conference activities and outcomes. Collaborate with the director of faculty engagement to ensure survey results are analyzed and appropriate adjustments and improvements put into place.
This position reports to the Senior Director of Global Operations. This is a hybrid-optional position, up to two days remote per week if desired. Some international travel is required.
Notre Dame International (NDI) is a division of the University of Notre Dame responsible for furthering the University's global strategy through Study Abroad, Global Engagement Programs, and International Student and Scholar Affairs. NDI's 11 Global Gateways and Centers, located in nine countries, provide intellectual hubs for international partnerships, faculty research and student programs. NDI also supports students, faculty, and staff in providing international travel safety training and resources for international travel.
Minimum Qualifications:
- Bachelors degree (4 years)
- 5 years experience, including international experience
- Must be able to work independently with little direction, work well with others and function in a customer service, team-oriented environment while maintaining a positive and professional demeanor
- Strong communication skills, both oral and written, as well as ability to proofread carefully
- Effective time management and organization skills
- Detail oriented to manage multiple activities at any given time with minimal supervision
- Strong interpersonal skills to deal effectively and courteously with a diverse group of individuals
- Ability to handle confidential materials with discretion
- Proficiency in Microsoft Word, Excel, the Google workspace environment, and ability and willingness to learn other software systems as needed
- Some international travel required
Preferred Qualifications:
- Experience in higher education
- Communication experience in a multicultural environment; international experience or exposure
- Fluency in a language other than English
