Administrative Secretary - Disability Services

  • Alabama State University, Disability Services, invites applications to fill the position of Administrative Secretary.  The selected candidate will, under general supervision, provide secretarial support for  the department.

    Duties and Responsibilities:
    • Compose letters and memorandums from general notes, proofread all materials typed to ensure accuracy
    • Compile factual information from files, records, publications, and other sources, and tabulates this information in accordance with standardized report form
    • Receive, open, sort and distribute mail as directed
    • Maintain accurate and current records of departmental purchases, equipment, travel statistical data, daily office activities, daily program activities and appointments
    • Establish and maintain accurate and current files of letters, reports, records and other documentary material, and ensure that information in these files is kept confidential
    • Render administrative assistance as directed in accordance with specific written or oral instructions
    • Prepare requests for office supplies as needed and receive such supplies
    • Answer the telephone, place calls, make appointments and reservations
    • Hire and supervise students assigned to the Federal Work Study and 20-Hour Work Programs
    • Perform general office management duties, recommends methods for improving office procedures
    • Perform other duties as assigned  
    An Associate's degree in  Business Administration, Secretarial Science, Office Administration or other appropriate field with one (1) year of administrative or secretarial experience or a certificate in Secretarial Science with two (2) years of administrative or secretarial experience or an equivalent combination of education and experience is required.   A typing proficiency exam of 40 net words per minute is also required. To be considered for this position, typing proficiency results must be submitted to the ASU Office of Human Resources by the announcement closing date.
