The ideal candidate will have a minimum of 3 years of experience in a similar Operations role, preferably within an agency environment. The Operations Manager will oversee the seamless integration between Operations and Sales, while also focusing on utilization and profitability, including project profitability, process management, and retainer tracking. Responsibilities:
Collaborate with all departments to facilitate efficient workflow management via Asana
Sales Operations Management:
Oversee inbound lead routing and tracking, ensuring consistency in CRM input, Asana tracking, and presale requests.
Prepare detailed weekly forecasts on incoming business, tracking potential revenue and staffing impact.
Create and manage an internal RFP repository for quick and accurate responses to external requests.
Assist in creating and maintaining sales standard operating procedures for consistency in presale.
Act as an intermediary between teams and the executive leadership team to provide consistency and aid in prioritization.
Proposal Management:
Manage the proposal process using Proposify and maintain proposal/system hygiene.
Maintain and organize proposal templates, ensuring compelling and customized responses to RFPs.
Ensure timely and accurate completion of RFPs to enhance sales effectiveness.
Utilization and Profitability:
Oversee project profitability, ensuring projects are delivered within budget and scope.
Manage process efficiency to maximize resource utilization and productivity.
Track retainer utilization and profitability, identifying areas for improvement and optimization.
Qualifications:
Bachelor's degree in Human Resources, Business Administration, or related field preferred.
Minimum of 3 years of experience in a similar Operations role, preferably within an agency environment.
Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
Excellent communication and interpersonal skills, with a customer service-oriented approach.
Proficiency in MS Office suite and familiarity with HRIS and accounting software platforms.
Detail-oriented with a high level of accuracy in data entry and record-keeping.
Ability to work independently as well as part of a collaborative team environment.
