Being a Dispatcher records driver assignments, delivery time, and other transportation data in a computer database to track metrics. Ensures drivers are compliant with all DOT, state, local, and company regulations. Additionally, Dispatcher requires a high school diploma or equivalent. Typically reports to a supervisor. The Dispatcher works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline. To be a Dispatcher typically requires 1-3 years of related experience.     ESSENTIAL JOB FUNCTIONS, DUTIES AND RESPONSIBILITIES: • Must be dependable, punctual, honest, organized, and detail oriented. • Must have a positive disposition and willingness to advance personally and professionally. • Responsible for exercising discretion and independent judgement in planning, scheduling, coordinating, controlling, and directing the activities of all service department technicians’ daily call schedule and labor hours. • Responsible for status updates and communications with all parties involved in service work including customers, service management, service staff and sales staff. • Assist the Administration Team by answering phones, routing calls, filing, greeting customers, scheduling appointments, data entry and assisting with other duties as assigned. • Must have strong computer software skills, organizational skills, and English grammar skills. Must be able to multi-task and perform duties to deliver excellent customer service and sustain a high level of customer satisfaction. • Coordinates service resources. • Schedules personnel based on skill set and availability. • Generates Work Order Documents, dispatches technicians, and notifies customers. • Responsible for customer interaction/satisfaction. • Interacts and communicates with Service Supervisors to assign and dispatch HVAC Technicians. • Filing of customer invoices and contracts. • Monthly analysis of service team open call report. • Maintains customer satisfaction by investigating concerns, routing them to the assigned staff, and responding to special requests. • Schedules calls and follows up with customers. • Reviews paperwork, completes calls, and forwards paperwork to appropriate staff members as necessary. • Handle customer inquiries related to billing questions and invoices in a professional manner. • Investigates customer inquiries regarding invoice discrepancies. • Creates customer invoices for service work performed in assigned area. • Responsible for billing customers for all work performed by their assigned technicians. • Analyzes Work in Process (WIP) monthly and prepares invoicing for all complete jobs. • Process and update all warranty claims to various equipment vendors. • Maintains customer service contracts and warranty database. • Responsible for generating, interpreting, and printing various assigned reports. • Transfers and posts all service invoices into QuickBooks billing software.

    QUALIFICATIONS To perform this job successfully, the individual must be able to exercise independent judgment and discretion and be able to perform all essential job functions, duties and responsibilities satisfactorily. The requirements listed below are representative of the knowledge, skill and ability required. • Education and Experience: Three to five years of related office experience and training to include Microsoft Office Suite, knowledge of QuickBooks preferred. • Language Skills: Must possess the ability to read, write and verbally communicate and present information to customers, staff and peers, vendors, etc., in one-to-one and small group situations. Must possess the ability to comprehend both verbal and written instructions and correspondence. • Mathematical Skills: Must possess the ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals. • Reasoning Ability: Must possess the ability to apply common sense, understanding and independent judgment to carry out instructions furnished in written, oral and diagram form. Must possess the ability to problem solve a variety of situations in a courteous and professional manner. • Certificates and Licenses: Must possess a valid driver’s license and a clean driving record. • Work Environment: This position works in a typical office environment. The noise level in the work environment is usually moderate. The typical workload is fast paced and requires the employee to multi-task.
