ESSENTIAL FUNCTIONS: Candidate will support daily management and maintenance of digital files. Responsible for ensuring purchase request through payment documents (start up to close out) are stored in the company’s systems correctly. Ensures data is accurate and in the appropriate place for internal and external use. Must have exceptional organizational skills, attention to details, and above average verbal and written communication skills. Successful incumbent should have previous experience reviewing documents for compliance along with the ability to spot errors.
EDUCATION/EXPERIENCE REQUIREMENTS: Position requires an Associate’s Degree or equivalent related work experience (3-5 years) in document review/preparation. Government accounting or purchasing experience preferred. Strong knowledge of Microsoft products (Excel, Word) and Adobe are required. Ability to work effectively and collaboratively with cross functional teams.
GENERAL DUTIES: Prepares, copies, scans, indexes, manages and files documents in physical and digital records. Reviews, updates, and checks documents and document packages for accuracy and compliance ensuring adherence to DCAA standards and general accounting principles. Identifies errors and communicates them to appropriate manager for resolution. Ensures any deviations due to project-specific needs are controlled and traceable. Manages flow of documentation within the organization. Ensures all team members have access to necessary documentation. Distributes documents/packages as required for audit requests. Assists in establishing and maintaining record retention timelines. Ensures applicable metadata fields are accurately updated and maintained in each document. OTHER REQUIREMENTS: This position requires successful completion of a National Agency Check, with Investigation (NACI) and requires a Secret or Top-Secret security clearance. Candidate must submit to a NACI and be eligible to obtain and maintain a security clearance. All selected candidates must undergo and successfully pass a background investigation and drug test as a condition of placement into this position. Employee may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or emergencies. Supports E-OMS operational objectives; observes company Quality, Safety, Environmental, Security and Administrative policies. Supports Process Improvement.
WORK ENVIRONMENT: Work activities are normally performed in an environmentally controlled area and will require some lifting or moving of heavy objects.
PHYSICAL DEMANDS: This position will be subject to substantial movements (motions) of the wrists, hands, and/or fingers. Must be able to have close visual acuity to perform an activity such as: preparing and analyzing
data and figures; viewing a computer terminal. May require lifting or moving of heavy objects or materials. May require sitting for long periods of time.
