SUMMARY

Supports all Export activities by preparing and reviewing all documentation relating to export sales/shipments while ensuring accurate, timely presentation of documents for payment that meet U.S. and foreign government regulatory compliance.

SUPERVISORY AUTHORITY

None

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Prepares and reviews invoices, tag lists, transport documents, certificates of origin, phytosanitary certificates, and any other documents required to comply with letters of credit and other payment arrangements in order to ensure prompt collection and to meet U.S. and foreign export and import requirements.
2. Prepares and presents bank drafts and other documents necessary to expedite collections against letters of credit, COA, CAD, GSM and any other export contract documents.
3. Prepares appropriate documentation required by U.S. Government agencies to cover agreements for GSM.
4. Prepares insurance documents for all contracts requiring insurance.
5. Generates and balances end of day reports (FTP).
6. Ensures all courier packages are at the appropriate drop off location before pick up times.
7. Communicates with controllers on new and existing orders.
8. Coordinates with all pertinent agents, buyers, banks, shipping agents, and U.S. government agencies to complete the contract and receive payment.
9. Maintains necessary files for U.S. Government audits under GSM.
10. Cooperates with Export Logistics Specialists to provide accurate documents ensuring timely payment.

OTHER DUTIES

1. Performs other job-related duties as assigned.

EQUIPMENT OPERATION

Personal Computer (esp. knowledge of Adobe, Word, Excel, Access, Outlook and special company and industry specific software programs) with mainframe access; 10-key desk calculator; FAX machines; copy machine; and, other standard office equipment.

RELATIONS TO OTHERS

1. Works closely with others within Export department.
2. Interacts regularly outside Sales Operations but within the company with Accounting, Marketing and Information Technology.
3. Interacts closely and regularly outside the company with international agents, ocean carriers, international trade banks, warehouses, controllers, fumigators, USDA, and U.S. Customs.

Qualifications

KNOWLEDGE AND SKILL REQUIREMENTS

1. Minimum of Junior College degree or equivalency including prior work experience.
2. Ability to prioritize tasks, use time effectively, and mange stressful situations.
3. Basic understanding of international trade banking procedures.
4. Ability to do detailed work accurately, exercise independent judgement in matters which impact the organization's effectiveness, and meet deadlines in a timely manner.

WORKING CONDITIONS

1. Environmentally controlled office.

2. Substantial overtime during periods of high volume of work including occasional weekends.

3. Fast pace of work required during periods of high volumes of work.
