Documentation Specialist
SUMMARY DESCRIPTION:
Self-motivated individual to support HR department. Responsible for providing administrative support, managing office documents. Working with colleagues to ensure consistency of documentation practice across the company and subsidiaries. Works independently, highly organized and process oriented.
ESSENTIAL JOB FUNCTIONS/DUTIES:
• Answers incoming telephone calls, screen calls and refers to proper HR staff for handling. Assists directly with routine inquires.• Examines employee files to answer inquiries and provide information for personnel requests.• Uploading employment data/documents into HRIS.• Ensure all I-9 Forms are completed correctly and follow up with HR representatives for compliance.• Assist with internal document audits.• Working with colleagues to ensure consistency of documentation practice.• Maintain strict confidentiality regarding sensitive materials that incumbent may come across.• Utilize the HRIS system maintaining appropriate up to date data on employee information and statistics.• Removing documents that are obsolete.• Tracking document storage requirements.• Using storage software and applications for electronic filing.• Adhering to regulatory requirements.• Proofreading for accuracy.• All other job-related duties as assigned by immediate supervisor
