Documentation Supervisor coordinates the production of functional, configuration, and user interface documentation for computer software and hardware products. Collaborates with technical teams to prepare accurate content. Being a Documentation Supervisor reviews edits and approves the final content. Ensures that standardized documentation methods and tools are deployed and that required document control procedures are employed. Additionally, Documentation Supervisor monitors project deliverables and timelines to ensure on-time delivery of release notes, manuals, and online content. Requires a bachelor's degree or equivalent. Typically reports to a manager. The Documentation Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Documentation Supervisor typically requires 3-5 years experience in the related area as an individual contributor.     Job Summary

    Under the direct supervision of the Clinical Database Manager, the Documentation and Affiliations Specialist is responsible for the development and maintenance of clerkship records, including those items directly relevant to accreditation standards. These items include affiliation agreements, adjunct clinical faculty appointments, student medical and academic records, and student scheduling and tracking through E*Value. The Documentation and Affiliations Specialist is also responsible for the primary and subsequent credentialing of adjunct clinical faculty, including a review of submitted documents as well as performing a background check on each applicant. This person is also responsible for duties related to the process for OMS Student Clinical Shadowing, as outlined in the Clinical Shadowing Policy.

    Duties and Responsibilities

    • Assist the university in the implementation of the Statement of Purpose, Institutional Plan, and Financial Plan; and uphold the WCU WCUCOM missions
    • Assists the Office of Clinical Rotations in the development, monitoring and continuous audit necessary for agreements with affiliated hospitals.
    • Assists the Office of Clinical Rotations in the development, monitoring and continuous audit necessary for agreements with Adjunct Clinical Faculty.
    • Assists the Office of Clinical Rotations in the primary and subsequent credentialing of Adjunct Clinical Faculty.
    • Continuously monitor clerkship documents to ensure addenda are sent and received appropriately to maintain seamless affiliation.
    • Maintain an adequate filing system for student and clerkship documents and spreadsheets for tracking.
    • Assists the Office of Clinical Rotations in auditing schedule and evaluation accuracy of the E*Value student clerkship system.
    • Disseminate any preceptor materials and survey’s through E*Value as directed by the Assistant Dean, Clinical Operations.
    • Assists the Office of Clinical Rotations in the primary gathering, monitoring and continuous audit of student immunizations.
    • Assists the Office of Clinical Rotations in processing, tracking, and monitoring Student Shadowing Requests for all OMS student doctors.
    • Contribute to a team effort and accomplish related results as required.
    • Must be willing to attend and participate in staff development sessions and serve as a trainer in staff development sessions if/when appropriate.
    • Assist with various functions of WCUCOM, some of which may be outside of the 8 am until 5 pm work day.
    • Attend university events when staff participation is expected.
    • Assist in other departments when needed.
    • Other duties as assigned by the Assistant Dean of Clinical Operations, Associate Dean of Clinical Sciences, and/or senior administrative staff.

    Physical Demands

    • Must possess mobility to work in a standard office setting and use standard office equipment, including but not limited to, a computer, copier, and printer.
    • Must be able to travel both in town and overnight, if required.
    • Must be able to sit for long periods of time.
    • Must have ability to lift and carry 25 pounds.
    • Must have vision to read printed materials and a computer screen, hearing and speech to communicate in person, and over the telephone.
    • Must have strength and agility to move files, paper boxes, and minor office equipment.
