Position Summary:
Provides
administrative support to both the Director and Associate Director of Donor
Relations. This individual will be part of a highly collaborative team and
must demonstrate curiosity, attention to detail, discretion regarding
confidential information, strong customer service, independent thinking, and
solid judgement in a dynamic and fast-paced and expanding environment that
places a high emphasis on quality control. Responsibilities include, but are
not limited to, acting as a liaison between the Donor Relations team and
Office of Student Financial Aid Services, monitoring the awarding of the
university’s priority donor funded scholarships, preparing weekly gift
acknowledgement reports and thank you letter merges, managing the Donor
Relations gift inventory, making detailed and timely updates to university
constituent database, managing the Donor Relations budget, coordinating
meetings between scholarship recipients and donors, providing event
management support, and other administrative tasks as assigned.
Essential Functions:
- Represents the Donor Relations
team in a highly professional manner; exercises administrative judgement;
responds to requests in an expeditious manner and maintains sensitive and
confidential information.
- Acts as liaison between the Donor
Relations team and the Office of Student Financial Aid Services; oversees and
troubleshoots the awarding of key donor funded scholarships, monitors the
scholarship award schedule, and, at the discretion of the Director and/or
Associate Director, works to resolve stewardship-related issues through
collaboration with the Office for Student Financial Aid Services and General
Accounting Office.
- Runs weekly gift acknowledgement
report, monthly tribute gift report, and ad hoc donor reports via university
constituent database.
- Prepares merged files for thank
you letters, scholarship updates, and endowment reports for Director and
Associate Director’s review; manages full chain of custody for all
stewardship-related correspondence including printing, delivery for
signature, archiving, and mailing.
- Assists in the preparation of
stewardship-related documents such as scholarship agreements, student
profiles, event briefings, and inter-departmental memos.
- Enters data and uploads
stewardship-related documents to university’s Raiser’s Edge constituent
database and Donor Relations shared drive.
- Files physical documents in Donor
Relations files to store materials for future referencing using departmental
filing procedures and organization.
- Manages Donor Relations gift
inventory, orders supplies from associated vendors, and prepares gifts for
delivery to donors.
- Supervises student employees with
regard to stewardship-related tasks.
- Manages and tracks Donor Relations
budget, prepares billing invoices for payment, and oversees expenses via
university-integrated systems such as Highlander E Merchant and Chrome River.
- Serves as the main point of
contact between scholarship recipients and the Donor Relations team.
Corresponds with recipients regarding completion of student profiles;
proofreads, edits, and formats profiles prior to delivery to scholarship
donors.
- Schedules in-person and virtual
meetings between scholarship/fellowship recipients, development officers, and
donors; sends follow up emails and/or makes follow up phone calls to confirm
meeting time, place, and attendance.
- Corresponds with scholarship
recipients to coordinate their attendance to the university’s annual
scholarship reception, awards dinners, and other events; arranges meetings
between scholarship candidates and selection committees.
- Responsible for large-scale Donor
Relations event tasks including but not limited to;
a) Oversees registration/RSVP process
for assigned events; manages event registrants in Raiser’s Edge constituent
database, sends confirmation emails to registrants, promptly responds to
registrant inquiries, and facilitates event arrangements such as parking,
guest hotel reservations, and travel arrangements.
b) Provides in-person support for
events such as set up, preparation of guest lists and nametags, registration,
and other duties as assigned.
c) Works with internal partners to
confirm food orders, audio/visual equipment set up, and room/space
preparation.
d) Requests may be made of individual
for attendance and staffing at evening and/or weekend events.
Additional Functions:
- Other duties as assigned by the
Director and Associate Director of Donor Relations.
Prerequisite Qualifications:
- Associate Degree in business administration,
accounting, or secretarial science required. MUST possess demonstrated office
management skills. Three to five years of office support experience required.
Strong experience in word processing, Excel, and other Microsoft Office
programs.
- Must have
knowledge of university databases Raisers Edge, Banner, and Chrome River, and
ability to quickly learn other programs (e.g. Scholarship Universe), as need
arises.
- At the university's discretion, the education and experience
prerequisites may be exempted where the candidate can demonstrate to the
satisfaction of the university, an equivalent combination of education and
experience specifically preparing the candidate for success in the position.
Preferred Qualifications:
- Bachelor’s
degree plus two or more years’ experience in higher education admissions or
financial aid.
