Hotels Coordinator
American Cruise Lines is the largest domestic cruise line with a growing fleet of riverboats and cruise ships that travel to the most amazing destinations across the United States. We are looking for a Coordinator, Hotels to provide hospitality expertise to support our growing fleet of cruise ships. The position reports to the Manager, Guest Programs and is based out of our home office located in Guilford, CT.
The Guest Programs department is involved in many aspects of cruise operations including entertainment, enrichment, land programs (shore excursions, transfers, overland experiences, and pre-cruise hotel packages), and guest communications. The Coordinator, Hotels will focus on pre-cruise hotel packages, hotel accounting, and guest communications. The ideal candidate must be extraordinarily organized, accurate, detail-oriented, communicative, and must enjoy working with a team and thrive in a fast-paced, high-pressure environment.
Responsibilities:
- Communicate with partner hotels regarding all aspects of the guests’ stay including check-in, meals, porterage, check-out and group departure.
- Create rooming lists and rooming list updates for each hotel stay.
- Create, organize and distribute weekly welcome letters and embarkation group lists for the fulfillment team to send to hotels prior to guest arrivals.
- Coordinate room blocks and hotel inventory, including cancellations and additions, with precise accuracy.
- Coordinate guest communications and cruise information to partner hotels on pre-cruise stays.
- Oversee hotel contracting.
- Oversee invoice control.
- Communicate between multiple internal and external departments to ensure guests needs and special requests are accommodated.
- Act as a company representative and work with leadership to resolve any issues as they arise.
- Ensure all hotels create a pleasant, comfortable experience for guests.
- Working with third party hotels to schedule and book pre-cruise hotel stays.
