    SALARY:  The salary range for this position is $45,797.84 to $72,189.54 for Schedule A, and $45,797.84 to $68,580.06 for Schedule B.  For newly hired individuals, the starting salary will normally be at the minimum of the salary range. For current Judiciary employees, salary upon promotion or advancement will be an increase of 5% of base salary, not to exceed the maximum of the range, or the minimum salary of the band/level, whichever is greater. Judiciary employees hired prior to June 3, 2014, are considered Schedule A. Newly hired individuals, and Judiciary employees hired on or after June 3, 2014, are considered Schedule B.

     The Monmouth Vicinage is seeking a highly motivated individual with excellent interpersonal, organizational, and technical skills.  The selected candidate must be detail-oriented and possess the ability to adapt to change and prioritize multiple responsibilities in a fast-paced work environment.

     

     Under the direction of Court Executives 1b (Ombudsman and EEO Officer): the successful candidate will provide daily paraprofessional administrative support to the Ombudsman and EEO/AA Officer, including but not limited to answering incoming telephone calls and responding to emails, taking accurate messages and appropriate action; coordinating incoming/outgoing mailings; maintaining and updating calendar meetings; processing requests to purchase office supplies; reserving office space/state vehicle; making photocopies; processing travel vouchers accurately with timely submission to manager and finance division. The candidate will establish and maintain a record keeping system for correspondence, contacts, and inquiries for both the EEO/AA Unit and the Ombudsman Unit; maintain accurate records of complaints/contacts, selection disposition forms, exit interviews and other recruitment information for the EEO/AA Unit. The selected candidate will provide superior customer service to both internal and external customers (including diverse and multi-lingual court users); interview clients for needed information and document acquired information, work collaboratively across all divisions, and triage and address emergent concerns and engage in creative solution-focused problem solving.

     

     The successful candidate will create, proofread and revise written materials (operations manuals, decision trees, court process instruction manuals, flyers, brochures and other public informational materials) created by the EEO/AA Officer and Ombudsman Units; create and disseminate confidential executive meeting minutes, provide staff support to the EEO/AA Advisory Committee, and the Advisory Committee on Diversity, Inclusion, and Community Engagement; organize and assist in executing recruitment, community outreach events, diversity programs, and webinars/trainings; prepare reports and presentations for community outreach events and stakeholder meetings; prepare correspondence, event materials (agendas, PowerPoints, programs, press releases), and written programmatic reports for public consumption; contact community stakeholders identified through outreach and provide reports and information on court processes; work to identify community stakeholders with potential to be outreach collaborators or participants in volunteer court committees; distribute information to court divisions and recruitment resources.  The candidate will calculate and compile and maintain statistical data and records (e.g., court user satisfaction surveys); assist in the preparation of workforce analyses reports and employee workforce profiles, and other related reports. The candidate will perform other related work as required. Strong computer skills desirable.  Bilingual in English/Spanish preferred.


    REMOTE WORKThe Judiciary currently offers a hybrid work schedule, and this position may qualify for up to 2 days of remote work outside of Judiciary buildings. To participate in this program, in addition to installing a multifactor authentication app on your phone or tablet, you will be required to have high speed home internet access.

    Other duties include but are not limited to:

    *Answering inquiries from the public

    *Informing clients or customers about available services

    *Explaining Judiciary policies or procedures to clients or customers

    *Referring individuals to appropriate federal, state, county or local agencies

    *Reviewing complaints for routing to appropriate unit, department or individual

    *Composing routine and non-routine correspondence

    *Performing related duties as required.

    Three years of experience in an office environment performing a variety of clerical and support services to include keyboarding and one or more of the following: document or information processing, handling payments for fees, recording monies received, reconciling balances or accounts and/or scheduling meetings or appointments.
     
    Testing: Applicants selected to interview must pass an appointing authority administered examination to demonstrate keyboarding skills at the Judiciary standard of at least 25 words per minute, or must have otherwise demonstrated this competency as detailed below.

    The appointing authority administered examination is waived for the following applicants who have been deemed to possess keyboarding skills at the Judiciary standard of 25 words per minute:
    • All applicants who possess a current typing proficiency certification issued by the New Jersey Civil Service Commission or the New Jersey Judiciary.
    • Judiciary staff that have permanent status in a career service title requiring a keyboarding, typing or stenography test.
    • Judiciary staff in unclassified titles requiring a keyboarding, typing or stenography test.
    Driver's License:  Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle is necessary to perform essential duties of the position.

    Authorization to Work:  US citizenship is not required.  Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations.

    Special Note:  Newly hired employees must agree to a thorough background check that will include fingerprinting.  All data received will be kept in strict confidence except to inform the individual of the findings and what action will be taken as a result of this information.

    Residency Law:  In accordance with N.J.S.A. 52:14-7 (L. 2011, Chapter 70), the "New Jersey First Act," all persons newly hired by the Judiciary within one year must establish, and then maintain, principal residence in the State of New Jersey. Any person may request an exemption from that requirement from the Employee Residency Review Committee in the Department of Labor & Workforce Development on the basis of either hardship or employer critical need.
