EHR Project Manager is responsible for the coordination and completion of projects involving the planning, design, and implementation of EHR (electronic health record) software applications. Oversees all aspects of projects. Being an EHR Project Manager sets deadlines, assigns responsibilities, and monitors and summarizes progress of project. Builds and maintains working relationships with team members, vendors, and other departments involved in the projects. Additionally, EHR Project Manager prepares project status reports. Requires Epic, Cerner, or similar product certification. Typically requires a bachelor's degree. Typically reports to a manager or head of a unit/department. The EHR Project Manager work is generally independent and collaborative in nature. Contributes to moderately complex aspects of a project.     The EHR System Analyst works on a collaborative team including EHR System Analysts, BI Developers, and System Support Specialists.

    HOW YOU’LL MAKE A DIFFERENCE IN THIS ROLE (ESSENTIAL FUNCTIONS)

    Under general supervision, this position formulates and defines system scope and objectives for the Epic EHR (electronic health record) and other ancillary systems. Uses research and fact-finding to develop, configure or modify Epic and other integrated applications to create a comprehensive EHR solution. Analyzes and revises existing system logic and documentation as necessary. This position will be responsible for the on-going maintenance, testing and support of Health Link within Agrace. This requires the individual to remain current with the system and/or application as well as interfacing with UW Health analysts and Epic Systems representatives. Competent to work on most phases of applications systems analysis activities but requires instruction and guidance in other phases. Works collaboratively with clinical and business owners to provide IT solutions that meet the needs of the areas involved.

    • Epic Builder
      • Analyze, design, develop, build/configure/code, test, debug, and document all activities to support implementing and maintaining application systems with the Agrace team.
      • Facilitate the development, testing, implementation, and documentation of new and enhanced EHR system functionality as result of monthly software updates/client packs and quarterly system upgrades.
      • Monitors Epic system for issues in connection with maintenance, upgrades, and implementations.
      • Accurately check processes and tasks and ensure data integrity for assigned applications, testing to ensure new code does not impact previous version.
      • Coordinate any shared category lists and system settings with the UW Health application teams.
      • Create and maintain technical application documentation including test plans, application architecture diagrams, data flows, use cases and workflows.
      • Prioritize and implement change control to all assigned systems and modules.
      • Perform and assist other team members in the analysis, design, configuration, testing and maintenance functions.
      • Ensure the Protected Health Information (PHI) is secure on all equipment.
    • End-user support
      • Act as the primary support contact for Agrace Epic end-users. Troubleshoot and resolve basic to complex application issues.
      • Process, troubleshoot and log end-user issues and resolution in ticketing software.
      • Act as a resource for client data corrections.
      • Troubleshoot and consult with UW Health and/or EHR vendor for issue resolution.
      • Serve as a liaison between Infrastructure and/or vendor technical contacts.
      • Create end-user documentation for new functionality, in collaboration with IT, HIM, Clinical Education and EHR staff.
      • Communicate any system changes, whether they resulted from reported issues, upgrades, or enhancements to end-users. Provide ad hoc reporting in conjunction with identified reporting protocols.
    • Process Improvement
      • Work with clinical management to support process improvement projects. Independently, interacts in a meaningful way to help drive solutions.
      • Perform in-depth analysis of Epic workflow/application/system and develop solutions to meet business requirements, compare and evaluate options, and recommend a course of action.
      • Define user requirements for complex systems and educate customers on application functionality and limitations.
      • Perform continual assessment of available application enhancements and requirements to facilitate continued improvements in software capability.
      • Solves complex problems; takes a new perspective on existing solutions; exercises judgment based on the analysis of multiple sources of information.
      • Uses knowledge of best practices and how areas of Epic integrate with each other to assist in performing business operational process design, reengineering and documentation for new technology.
      • Actively seeks knowledge of the latest EHR technology and trends. Conducts research on new features and enhancements that may be used in future processes or workflows. Research and test hardware that may improve workflows and efficiencies.
      • Assist with project documentation preparation.
    • Other Duties
      • Participate in internal work groups, meetings and committees relative to position responsibilities.
      • Participate in on-call rotation to cover after-hours support.


    YOU BRING (EXPERIENCE & QUALIFICATIONS)

    • Bachelor’s Degree in a health, science, or business field, or an equivalent level of professional experience preferred.
    • 3 years’ experience supporting EHR Systems, Epic experience preferred
    • Epic certification required, Home Health and Hospice or needs to be completed within first six months
    • Advanced Microsoft Office Suite and rational databases skills
    • Ability to work effectively and cooperatively with others
    • Ability to understand clinical processes and regulations
    • Knowledge of third-party applications used with EHR system
    • Strong technical aptitude and ability to research and resolve complex issues independently
    • Ability to communicate technical information to all levels of the organization
    • Ability to communicate effectively verbally and in writing
    • Ability to be flexible in time and task to meet organizational needs
    • Ability to maintain confidentiality about patients, families, caregivers, staff, donors, and organizational intellectual property
    • Ability to work at various Agrace locations
    • Ability to use proper body mechanics and standard precautions
