EHR Project Manager is responsible for the coordination and completion of projects involving the planning, design, and implementation of EHR (electronic health record) software applications. Builds and maintains working relationships with team members, vendors, and other departments involved in the projects. Additionally, EHR Project Manager prepares project status reports. Requires Epic, Cerner, or similar product certification. Typically requires a bachelor's degree. Typically reports to a manager or head of a unit/department. We are looking for a new Office Manager to support our mission to ensure a healthy social environment, regulatory environment and natural environment for shellfish farming in Washington, Oregon, Alaska, California, and Hawaii.
    We represent almost 100 bivalve shellfish (e.g. clams, oysters) farmers in Washington, Oregon, California, Alaska, and Hawaii. Our growers depend on clean water and a healthy regulatory system to provide nutritious food, jobs, and many other benefits for communities and ecosystems. Our portfolio of work covers everything from improving water quality to ensuring that regulations are consistent, clear, and based on science. Our services and activities include providing general guidance and resources to our grower members, developing outreach materials for various audiences, planning and hosting events, and advocating for our growers in state capitals and Washington DC. We work closely with our board of directors and grower members to develop programming and strategies. We also work regularly with legislators, researchers, community groups, tribes, NGOs, and many other stakeholders to develop collaborative solutions to address the challenges for growing shellfish, and to promote the many benefits our farms provide to society and the environment. Our success is dependent on strong relationships between its staff, board, and grower membership. Our staff have ample opportunities to sample our farmer’s products and engage with the farmers and other stakeholders at events, farm tours, and meetings.
    LOCATION AND HOURS
    We have a small office located in East Olympia, Washington, not far from downtown. The Office Manager will be expected to work 25-40 hours Monday – Friday, with some flexibility to work evenings and weekends as needed. Some tasks, for example, will require errands (e.g. collecting the mail, picking up printed materials, etc) or accepting deliveries that must be completed during normal business hours. The candidate will work with the executive director to set a schedule that is convenient for them, but also ensures the duties of the position can be effectively executed. This position will be expected to be in the office most days. Limited remote work options may be negotiated.
    PRIMARY RESPONSIBILITY
    The office manager will provide general administrative support, manage the day-to-day office operations, and support staff and leadership. They will report to the executive director and support the other staff, Board of Directors, and Grower Members as needed. Whoever holds this position will represent the mission and the interests of the organization.
    ROLES AND RESPONSIBILITIES
    General Administrative Duties
    Perform general administrative functions, including but not limited to general correspondence, phone, email, schedule meetings, etc.
    Attend meetings and take minutes as needed.
    Collect and distribute or address mail.
    Draft copy for articles, emails, letters of support, etc.
    Update and organize electronic filing systems.
    Ensure that contacts, account information, and other key information supporting daily operations are updated regularly.
    Order office supplies, event supplies, and other supplies as needed.
    Process billing and payments (training for QuickBooks can be provided).
    Assist other staff as needed.
    Support Organization Leadership and Staff
    Attend event planning committee meetings, coordinate vendors, and staff events as needed.
    Schedule and book venues for meetings and events.
    Work with the membership program officer to develop and distribute promotional materials for events.
    Work with the membership program officer to communicate with and manage volunteers for events.
    Update the website and organization database.
    Design the layout and support content development for our quarterly Longlines newsletter using Canva or InDesign (training can be provided).
    QUALIFICAITONS
    Ability to effectively communicate verbally and in writing.
    Professional phone and email étiquette.
    Proficiency with Microsoft Office Suite and Google Drive; comfortable with virtual communication platforms, such as Zoom.
    Ability to work cooperatively and collaboratively with others in complex and sometimes politically sensitive arenas.
    Willingness to learn and flexibility to adapt to dynamic and changing priorities.
    Organized and demonstrates attention to detail.
    Reliable transportation and valid driver’s license.
    Ability to lift and carry at least 50 pounds.
    DESIRED QUALIFICATIONS
    Ability to develop content in a variety of formats, including: letters, public comments, outreach materials, websites, and presentations.
    Ability to work weekends to staff events.
    Experience working with QuickBooks.
    Experience working with WordPress, Canva, InDesign, or similar publication software and social media platforms. Learns new software quickly.
    Works independently, prioritizes tasks, and is a self-starter. Understands what needs to be done and how best to accomplish tasks.
    Exhibits discretion, confidentiality and professionalism when working with sensitive, private or adverse information.
    Appreciation for farming, sustainable food production, and/or working waterfronts.
    Demonstrates humility and a sense of humor. Learns from mistakes and is able to bounce back.
