    Position Summary:

    The Signature Events Specialist works to build community engagement in the history and cultures of the region by supporting large-scale, annual events that are unique, meaningful, enjoyable, and reflective of the St. Louis area's spirit and complexity. The Signature Events Specialist is responsible for planning and organizing the event operations of these innovative programs from start to finish.

    Duties/Responsibilities:

    Project manage the Twilight Thursday concert series. This signature event typically happens in the months of May and September each year, though the dates and number of concerts may vary according to scheduling and budgets.

    • Project manage the annual Día de los Muertos event.
    • Project manage exhibit opening and closing celebrations.
    • Develop and project manage a new signature event around St. Louis's birthday in February that will be held annually beginning in 2025.
    • Support Winter Getaway and the annual MLK Community Celebration as needed. These events are managed by other staff members but due to the large scale, support facilitating programming may be necessary.
    • Work among the community engagement team to support large-scale evening programs. Take the lead on developing at least 2 evening programs per quarter.
    • Work across divisions at MHS to realize opportunities for new signature events, collaborate with other organizations within the community, and develop events accordingly.
    • Create detailed project timelines and task lists for each signature event, ensuring that the format is sharable and easily digestible for MHS team members as well as external collaborators.
    • Recruit MHS staff and volunteers to facilitate events, coordinate schedules to ensure coverage, and facilitate training when needed.
    • Recommend, develop, implement, and monitor appropriate wayfinding signage and crowd flow procedures during large-scale events.
    • In coordination with the Manager of Evaluation, administer program evaluation surveys and track survey responses.
    • Capture and report program attendance and progress regularly.
    • Coordinate logistics for meetings and preparation work leading up to events, including reserving spaces.
    • Work with the web team to ensure website accuracy.
    • Lead MHS's presence at offsite community events, including Pride Fests. Promote signature events and other MHS initiatives.
    • Communicate effectively with MHS staff, volunteers, contractors, community collaborators, and stakeholders regarding the logistics of the events.
    • Track budgets for individual events, adhering to budgetary restrictions and following fiscal policies and procedures.
    • Purchase and maintain needed supplies.
    • Interact with MHS visitors in a friendly and professional manner, providing a welcoming presence.
    • Acquire and maintain a working knowledge of MHS programs, exhibitions, and collections.
    • Attend and actively participate in educational and professional training opportunities

    • Language skills: Multiple languages are not a requirement, but bilingual or multilingual candidates may be given preference if all other experience is strong.
    • Flexibility to work evening and weekend hours is required.

    Education:

    • Bachelor's degree in museum education, museum studies, project management, non-profit management, history, or related field strongly preferred, or relevant work experience.
    • Minimum 2 years of project management experience, preferably in museum setting or non-profit sector.
    • Experience with staff scheduling and training preferred.
