Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will provide essential support to our office operations and ensure the smooth running of daily tasks. This is a dynamic role that requires excellent communication skills, the ability to multitask, and a strong attention to detail.

Duties:

• Assist in creating contracts, proposals, and construction management documentation
• Review contracts and obtain the necessary documentation per contract documentation and accurate setup of projects
• Answer phone calls and direct them to the appropriate staff members
• File and organize documents, both physical and electronic
• Assist with office management tasks such as ordering supplies, coordinating maintenance requests, and general accounting management
• Perform data entry tasks accurately and efficiently
• Provide personal assistant support to executives as required
• Handle sensitive information with confidentiality.
• Prepare billing each week and manage documentation of projects for billing
• Process weekly payroll for field staff with appropriate documentation

Skills:

• Construction / Construction Management is a preferred background for this position
• Strong knowledge of Google Suite (Gmail, Google Docs, Google Sheets)
• Strong knowledge of Microsoft (Excel, Outlook, Word)
• Strong computer skills
• Excellent organizational skills with the ability to prioritize tasks effectively
• Attention to detail for proofreading documents
• Previous experience in office management
• Proficient in data entry with a high level of accuracy
• Ability to adapt quickly in a fast-paced environment
