Commonwealth Electrical Technologies is seeking a full-time Administrative Project Coordinator to thrive in a busy office and provide proactive and comprehensive support. Qualified candidates must demonstrate strong organizational skills, attention to detail, and strong communication skills, and they must be proactive in their approach to all work.

The Administrative Project Coordinator is responsible for processing change orders, tracking change order approvals, and filing for electrical permits. The Administrative Project Coordinator is also responsible for coordinating administrative team communication, including answering and screening phone calls, emails, and visitors. You will be involved with putting together submittals for the general contractor’s approval and tracking.

Essential Functions/Position Responsibilities:

• Process change orders through accounting software.
• Track change order approvals.
• Take meeting notes and coordinate circulating them to the project team.
• File for electrical permits.
• Coordinate insurance requirements for projects and distribute them to GCs.
• Put together submittals for GC approval and track.
• Assist in the coordination and planning of events, meetings, and appointments, including service needs, set up, and tear-down coordination.
• Occasional support of other coordinators and management.
• Take inventory of office supplies.
• Arrange travel as needed.
• Update and manage information & coordinate organized data storage.
• Serve as a conduit of clear and accurate information to staff members.
• Coordinate administrative team communication, including answering and screening phone calls, emails, and visitors.
• Assist Project Managers with closeout paperwork as needed.

Hiring Requirement/Preferences:

• High school diploma
• Ability to read and write in English
• Microsoft Office Suite (Excel & Word specifically)

Pay: $45,000.00 - $55,000.00 per year
