    Hours: Monday-Friday

    Pay: $18-$20 per hour (based on experience)

    Functions of the Job

    The Employee Relations Specialist is responsible for ensuring that an employee from the beginning of the hire process is set up for successful employment with the company. To reach that goal for all CHRC staff members, the Employee Relations Specialist will manage and organize the hiring process to the end of employment process. The Employee Relations Specialist must be knowledgeable in all different human resources areas to educate and inform staff on all available benefits, incentives, and work policies. The Employee Relations Specialist is an advocate for all employees.


    Education and Experience

    • Associates degree or equivalent training preferred, but not required
    • Minimum of five years experience preferred, but not required.

    Characteristic Duties and Responsibilities

    • Manages all benefits offered to employees by Colfax Health and Rehabilitation Center. This includes all of the following benefits: health insurance, dental insurance, vision insurance and voluntary benefits (401k, life insurance, and disability insurance). Will ensure that all necessary paperwork is given to the employee for enrollment in any of the insurance programs offered. Wen an employee leaves the company, the Employee Relations Specialist will be responsible to communicate changes to the Business Office Manager as well as the insurance company and employee.
    • Creates internal and external postings for open positions within the company. Communicates and updates department managers and administrative staff with open position information. Directs all processes for recruitment.
    • Schedules dates for potential employees to interview and tour the facility. Communicates with department managers about a possible hire and invites them to join the interview process.
    • Conducts the interview process and provides the applicant with the necessary information.
    • Processes all potential new hire applications. This includes getting employment verification information, completing reference checks, and background checking. Checks professional licensing requirements for the position, when necessary.
    • Manages and facilitates tuition reimbursement program for employees going to school while working at CHRC. Creates and updates policies to make the program a success. Writes contracts and ensures staff members who participate understand the contract, how the program works, and what is expected of them.
    • Manages and completes documentation for OSHA logs. Educates staff on workplace safety. Ensures OSHA postings/forms are posted according to OSHA requirements.
    • Manages staff in-service education programs as well as provides information to staff on meetings, trainings, and other activities.
    • Creates monthly staff recognition lists with birthdays, anniversaries, and perfect attendance awards.
    • Directs the implementing of new hire processes, as well as new employee orientation and training processes. When a potential hire is accepted for the position, the Employee Relations Specialist ensures all the correct paperwork is given to the employee and is complete before training is scheduled.
    • Provides all new employees with training and schedule information, time clock pin number, time clock orientation and correction forms, and charting passwords for in-services, day to day charting, and any other systems, depending on the position.
    • Enters information into computer systems for employee record keeping such as evaluation due dates, direct deposit information, and new hire reporting to the government.
    • Enters scheduling information and template for new employee into electronic scheduling software.
    • Puts out annual communication with staff for changes with contact information.
    • Documents unscheduled time off for each employee. If an employee does not find their own replacement, the Employee Relations Specialist checks staff record for number of unscheduled occurrence(s) and sends out warning letters for disciplinary action, according to the policy.
    • Maintains and upkeeps active and inactive employee files.
    • Documents disciplinary actions as necessary.
    • Manages annual reviews for current staff members as well as entering those dates into the computer program for new employees. Collects all data necessary and gives the collected information to the supervisor to review and gives to the other department heads. After the evaluation is completed, the Employee Relations Specialist changes wage information when applicable and gives the paperwork to the business office for completion.
    • Advises managers and supervisors in performance improvement plans for employees.
    • Initiates payroll process. This process involves a lot of different tasks. Looking at all staff hours to ensure work hours are correct for the pay period, calculating and entering PTO earnings into the employees electronic file, running reports for different department heads as well as for payroll procedure, and calculating overtime and attendance bonuses. After all items are complete, paperwork is given to the Business Office Manager for completion.
    • Trains in all payroll processes and procedures.
    • Trains as back up for the Administrative Assistant in scheduling duties and OnShift usage
    • Completes daily time clock reports to ensure all staff hours are correct in the time clock.
    • Communicates with department heads to double check any corrections.
    • Gives employees time clock correction forms when they have made an error in the time system. Then, adjusts time clock hours accordingly.

    Essential Knowledge and Abilities

    • Considerable knowledge on understanding and interpreting the employee handbook.
    • Considerable knowledge of programs and benefits available for all employees.
    • Has knowledge about other information, such as FMLA, workmen’s compensation, and unemployment benefits and requirements by Federal and State laws.
    • Ability to find answers in regards to legal requirements of employment if not knowledgeable in that area.
    • Ability to establish and maintain work and public relationships.
    • Ability to exercise judgment and discretion in human resources matters.
    • Ability to communicate effectively and clearly
    • Ability to understand, interpret, and apply work place policies and procedures.
    • Ability to plan, organize, research, and effectively implement assignments.
    • Ability to multitask and complete important unscheduled assignments positively.
    • Ability to learn and use computer software programs such as word processors and spreadsheets.
    • Ability to listen to complaints from any staff member and effectively problem solve a situation.
    • Ability to create and prepare detailed and complex reports.
    • Ability to serve as a leader and positive role model.
    • Ability to be an advocate for all employees within the company
    • Comprehensive knowledge of organization, procedural techniques, decision making, communication, and staffing requirements.

    Physical Demands

    • Regularly required to sit, walk and stand; talk or hear, both in person and by telephone
    • Use hands repetitively to finger, handle, feel or operate standard office equipment
    • Reach with hands and arms
    • Lift up to 25 pounds.
    • Specific vision abilities required by this job include close vision, distance vision and the ability to adjust focus.

    Working Conditions

    • Work under intensive deadlines with frequent interruptions
    • Interact with staff, customers, the public, family members, visitors, and others encountered in the course of work, some of whom may be dissatisfied or abusive individuals.

    • Works beyond normal working hours and on weekends when necessary.
    • Must attend and participate in in-house education programs
    • Subject to falls, burns from equipment, odors, etc. throughout the workday.
