    Office Manager
    Howard Bailey Financial, in Perrysburg, OH is seeking an Office Manager with existing financial services/retirement paraplanning experience. The role and responsibilities of our regional Office Mangers are threefold as follows:
    • Client Experience – Interacting with prospects and clients to provide a world-class experience. This involves welcoming clients to our offices in addition to welcoming prospects at locally hosted seminars and other marketing events. Additionally, this aspect of the role provides updates to our CRM and scheduling systems and processes that provide seamless communication and planning for our client-advisor interactions.
    • Financial Advisor Support – Acting as a coordinator between our Advisors, Clients, and our Client Service Team, these responsibilities assist two to three local Financial Advisors in coordinating their duties. A level of financial services paraplanning and subject knowledge is desired.
    • Facilities Management – Oversee the world-class upkeep of our office by working with third parties our in-house facilities manager, and third parties such as property management, our cleaning staff, and suppliers through keeping inventory and ordering of needed supplies.
    The ideal candidate will possess a warm and engaging personality and be highly efficient and enthusiastic in their work. In this position, the individual will deliver superior customer service by warmly greeting guests in the office and at our marketing events, ensuring that all arrangements are consistent with the Howard Bailey brand. The Office Manager must possess exceptional attention to detail and be capable of managing multiple tasks simultaneously, including maintaining accurate records of all communications and client information and generating reports through our Customer Relationship Management (CRM) system. In addition, the ideal candidate should possess excellent interpersonal skills.

    Essential Duties and Responsibilities:

    • Work with our Facilities Manger and local third parties to maintain the efficient running of our office to a World Class standard.
    • Assist 2-3 Financial Advisors, meeting their needs for communication and coordination of their duties (a high level and broad financial planning and investment product business knowledge is required).
    • Answer phones and greet clients in a warm and friendly manner.
    • Input client data from sour documents into our CRM.
    • Accurately record notes from client interactions into CRM, and maintain our existing database of clients.
    • Manage electronic tracking and filing while reviewing data for deficiencies or errors.
    • Provide support to various after-hours client events.
    • Coordinate and host Howard Bailey seminars and other marketing and client events.
    • Preparation of client forms for review and signature both digitally and hardcopy upon request.
    • Assist in sending correspondence to clients, including appointment reminders, thank you notes, invitations, etc.
    Education and Experience:
    • Associate’s Degree or higher in Business Administration, Communication, or the equivalent.
    • Financial Paraplanner Qualified Professional (FPQP) – strongly desired, or to be earned within 3 months of commencement. Howard Bailey will sponsor the coursework for selected candidates.
    • 2 years of experience working in a professional, fast-paced office environment.
    • Proficient with digital technology, including Microsoft 365 applications (Word, Excel, SharePoint), Salesforce, Calendly, and SMS on iOS devices.
