At The Law Office of Shann M. Chaudhry, we are seeking a seasoned Law Firm Administrator to oversee our administrative operations and contribute to our growth and efficiency. The Administrator will play a pivotal role in managing non-attorney personnel, enhancing our operating and information systems, and leading our human resources and financial functions. Additionally, this role involves a significant contribution to marketing and client development efforts, as well as the management and supervision of the firm's facilities.
Key Requirements:
· Proven ability to unite and lead diverse team members effectively, fostering a cohesive and productive environment.
· A minimum of 10 years' experience in a law firm administrator or office management role.
· Expertise in law firm billing, accounting practices, and financial management.
· Exceptional administrative, organizational, and time management skills.
· Outstanding verbal and written communication abilities.
· A Bachelor's degree in Finance, Accounting, Human Resources or Business Management is highly preferred.
· Experience with QuickBooks, Clio and Lawmatics preferred.
· Certified Legal Manager (CLM) certification.
General Responsibilities:
Financial Management:
· Oversee the accounting function to ensure accurate financial operations.
· Develop and implement the Firm's annual budget, ensuring fiscal responsibility.
· Manage payroll operations, ensuring accuracy and compliance.
· Monitor client trust accounts to maintain integrity and compliance.
· Implement effective cash flow control measures.
· Collaborate with the bookkeeper and external accountants for tax preparation.
· Administer 401(k) plan, continually enhancing employee benefits.
· Cultivate and maintain productive banking relationships.
Human Resources Administration:
· Lead the Firm's human resources functions, including recruitment, payroll, and benefits administration.
· Negotiate with insurance brokers for favorable annual renewals.
· Assess and fulfill staff requirements to support firm operations.
· Oversee and enhance the Firm's benefits package, including welfare and retirement plans.
· Conduct evaluations of non-attorney personnel, recommending salary adjustments as needed.
· Develop and enforce firm policies, procedures, and job expectations for all non-attorney staff.
· Support the Managing Partner in managing associate attorney compensation and bonuses.
· Facilitate administrative meetings with Managing Partner, Director of Attorney Operations and attorneys to address operational matters.
Marketing and Business Development:
· Spearhead client development initiatives tailored to specific firm goals.
· Ensure the Firm's website and attorney bios are up-to-date and engaging.
· Coordinate the design and distribution of marketing materials, including e-blasts, newsletters, and holiday cards.
Technology Management:
· In conjunction with outside IT vendor, oversee the Firm's IT operations, ensuring efficient and secure technology use.
· Regularly evaluate the Firm's computer systems and software to ensure they meet operational needs.
· Manage maintenance contracts for all computer hardware and software, ensuring reliability.
· Oversee the management of the Firm's telephone system, ensuring effective communication.
Facilities Management:
· Manage the Firm's facilities, including office space planning, renovations, and maintenance.
· Oversee the procurement and upkeep of office furniture and equipment, ensuring a productive work environment.
