Primary Job Function: Work directly with company president as customer service representative and dispatcher, along with performing assigned task, detailed below. Overseeing and modeling excellent customer service, via answering phones, processing service work orders, accounts receivable duties, conducting customer satisfaction calls, and administrative duties as assigned by President. Routinely update procedures and processes and ensure these are being adhered to. Become proficient in the service software including learning all aspects of software to enhance company performance. Supervise customer service personnel and have excellent communication with technicians.
Job Description:
Coordinate and monitor Customer Service, including the following:- Assist All Plumbing develop repeat and referral business through excellent service.
- Assist All Plumbing by ensuring the Service Titan database is updated with e-mail address, cell and fax numbers and validated addresses on all customers.
- Train and back-up customer service assistants in all duties.
- Ensure the office staff is fully utilizing company software.
- Conducting training for this purpose.
- Train CSR for back up dispatcher duties.
- Dispatch technicians, manage service schedule and communicate effectively with technicians and customers, managing labor of employees & revenue goals on a routine basis.
- Assist Management in resolving customer complaints before escalating to upper management.
- Answer telephone and greet visitors as needed.
Inside Sales- Complete follow up calls as they appear on schedule, unless they are within the Field Supervisor’s range.
- Coordinate with Field Supervisor & complete follow up calls for estimates that have been given.
- Coordinate plumbing inspection call sessions with CSA as needed.
- Coordinate billing for customers as needed.
Office Duties Train new & existing employees as needed.- Maintain up to date, accurate procedures and processes both on line and in binders with accurate procedures, ensuring all are easily located.
- Review night service report daily and follow up on calls and issues with customers/techs.
- Responsible for maintaining Accounts Receivable book and communicating with customers that have not paid on time. Review database daily to verify invoicing & payments are completed in a timely manner.
- Maintain office supply inventory and minimum levels of inventory managing within budgets and comparison shopping. Responsible for plumbing agreement program production/process and administration.
- Develop programs to advance the growth of the program.
- Assist management with strategies to improve the growth of staff & the company.
Marketing- Work with management & staff to develop new strategies to improve and grow the company.
- Develop & assist in marketing sources and social media for the company.
Participate in best practices to advance All Plumbing’s goals.- Adhere to, advance and introduce the processes, policies and procedures of the company.
- Develop training processes for administrative team.
- Develop a personal development training program for yourself and be responsible for your development so that you can add to your self development and the team.
- Attend and contribute feedback at all office meetings.
- Attend and participate fully in all training opportunities.
- Develop training programs to enhance teams strengths in areas needed as work is produced.
- Interact regularly with the inside support staff and technicians to ensure best possible service to clients.
- Prepare regular performance reviews for the office staff. Assist the management team in personal development avenues for the team as well as the improvement of the staff.
Complete special projects as assigned by President.
Education and Skills Required:- Minimum high school diploma or GED. Some higher level education is a plus.
- Prior experience in supervisory and management duties.
- Professional appearance and demeanor.
- Excellent oral and written communication skills.
- Friendly and great attitude.
- Basic math skills.
- Accurate typing skills, preferably 60 wpm or better.
- Attention to detail and organization skills.
