Serves in a front-line leadership role, responding to diverse questions about registration and other services of the Extended Learning programs. Trains PTNC staff in coordination with Registration duties and non-credit student services. Collaborates with college leadership, faculty and staff to build and update registration systems that allow for an easy and positive experience for new and continuing students. Participates in outreach and retention efforts, including leading communication campaigns focused on current students to support retention and increased enrollment into subsequent courses or programs.

Education and Experience:The position requires a high school diploma or equivalent plus a minimum of five years of full-time experience related to education, student services, training, or career planning. An AA/AS degree or vocational certification in business, secretarial, accounting, or a related area may substitute for two years of experience. Proven experience in a leadership role, preferably in registration or related field.
Preferred Qualifications:
Background in operations, policies, and procedures for registration in an educational setting is preferred.

Physical Requirements and Working Conditions:
Physical Skills and Abilities:The position may require periods of extended standing. Learned physical skill is required to operate a computer keyboard or other office equipment. Must be able to read words and numbers. Must be able to communicate effectively and carry on routine conversations in person or over the phone.
Working Conditions: Work is normally performed in an office setting with little or no exposure to health and safety hazards. Extensive time is spent working at a computer. Occasional travel may be required.
Essential Duties:
Lead Non-credit Enrollment Specialist – 50%
- Serves as a primary point of contact for returning non-credit students, as well as those who are new to Extended Learning and may have questions about how to get started.
- Answers questions (via phone, email, and in person) about Extended Learning programs, and other College services that may be helpful to new students.
- Registers students for classes and clients for services.
- Assists students and staff with registration systems, procedures, and policies in person, by email, and by phone.
- Works with various BANNER Modules and related systems (e.g. Laserfiche) to assist students and clients and to research and solve problems that arise across service locations.
- Resolves a wide range of problems related to registration system variables.
- Coordinates PTNC staff workload and training.
- Collaborates with other department members to coordinate PTNC staff schedules to ensure adequate office coverage (phones and counters) during business hours and during peak activity.
- Assists in hiring, training, prioritizing, and evaluating work or PTNC staff.
- Follows FERPA guidelines in decisions regarding the release of student information to third parties.
- Consults with Student Affairs leadership regarding any questions that arise regarding FERPA compliance.
- Acts as a bridge between the Non-credit Registration Team and other programs, facilitating seamless collaboration on projects and ensuring consistent alignment with divisional growth objectives.
Process Development & Optimization – 30%
- Collaborates with other Extended Learning team members to develop, test, and launch improvements to registration processes, and registration tools used by Extended Learning.
- Researches ways to enhance, streamline, and improve Extended Learning onboarding experiences for students and clients.
- Serves as registration team point of contact and lead for the development of systems and processes for onboarding Element 451 as a possible noncredit registration system at the college.
- Leads all process map and registration system collaborations, which includes (yet is not limited to) writing standard procedures regarding the Extended Learning registration and onboarding process, and working with internal and external stakeholders to ensure our registration processes are the most effective and efficient possible
Student Outreach & Retention – 20%
- Leads outreach and retention efforts, designed to support the retention of current Extended Learning students which includes (yet is not limited to) managing phone banks, Inside LBCC campaigns, and creating and leading other outreach and engagement activities that will increase enrollment, thereby generating more revenue and FTE for the College.
- Participates in other marketing and business development activities, which includes (yet is not limited to) generating new marketing ideas, and working with the Marketing Specialist to develop outreach campaigns for returning students around those ideas.
- Leads efforts to create systems for tracking student data, which will ensure we are converting as many leads into students as possible, while retaining as many returning students as possible.
- Informs Extended Learning leadership regarding trends related to recruiting and retaining students and clients.
