JOB DESCRIPTION – SUPERVISOR, ENTERPRISE DATABASE
JOB SUMMARY
The Enterprise Database Supervisor is responsible for providing District-level management of the Enterprise Database, which includes but is not limited to Employee Access, Family Access, Fiscal Management, and Student Management. Duties include maintenance of user security roles, year- end/year-start processes, generation of required state/federal reports, export of files for state reporting systems and third-party software, and production of various reports from the student database and other sources. The Enterprise Database Supervisor oversees and coordinates data entry, data integrity, and the use of data related to the District’s information services. The Enterprise Database Supervisor is the district’s liaison with the Western Regional Information Services Center (WRISC). The Enterprise Database Supervisor will work with and assist as needed with the following departments: Assessment, Child Nutrition, Health, Special Programs, Special Services, Personnel, Payroll, Business Office, Transportation and Facilities. The Enterprise Database Supervisor assesses the training needs of school district employees who use the enterprise database and develops training material and presentations.

RESPONSIBILITIES
- Manage and oversee the Bremerton School District enterprise database in the Skyward SMS 2.0 system; develop and communicate district protocols and procedures for data entry and common database practices to all users of the Skyward SMS 2.0 system.
- Assist with year-end database rollup utilities and corresponding software set-up for the new school year; create student database export files and assist with importing student information for third-party software as needed throughout the year.
- Serve as the district liaison with Northwest Regional Data Center (NWRDC) for problem-solving and development issues; track software releases and alerts from NWRDC and notify affected users of software performance issues, releases, and corrections; and communicate product alerts, training opportunities, database access outages, and related issues.
- Verify data and generate required state and federal reports including weekly CEDARS submissions; and a variety of identified annual or less frequently required state and federal reports; review/edit reports and ensure correction of data as necessary; work with district administrators to produce, refine, and submit other required state and federal reports.
- Support individuals and job-alike groups with data entry and/or reporting responsibilities for enterprise database systems by responding to their questions/concerns about these systems; provide group and/or one-on-one training as needed.
- Lead and direct the day-to-day work of the District Information System Specialist and the Data Technician; work with school administrators to ensure office coordinators, school secretaries, registrars, and other applicable staff are proficient in the use of the Skyward SMS 2.0 system, and provide input into their annual performance evaluations.
- Develop and maintain documentation for district-specific data entry and report generation processes for the enterprise database system.
- Develop and present training sessions for standard data entry and reporting processes and for new, changed, or unclear processes.
- Manage the integrity of data in the student database on an ongoing basis, with particular attention to data involved in upcoming reports or events, such as yearly data collections, such as Online Check-ins for students. Recommend and/or develop non-standard reports requested by a variety of school sites and departments, using data export features of the student information systems, CEDARS, or other report generation software.
- Develop non-standard reports requested by a variety of school sites and departments, using “data mining” features of student Skyward system(s) and through the development of reports using Crystal Reports or other report generation software.
- Manage student database security for Skyward – control access; review, monitor, and update group security permissions in the database; create, delete, and manage employee accounts for an active directory; and create and manage student accounts.
- Manage security and access to the state EDS system; assign security levels and roles under EDS for reporting and iGrants/EGMS access.
- Maintain knowledge and keep current on State and Federal Laws and Directives regarding student information by consistently researching and staying abreast of current student data requirements and future changes affecting student data requirements.
- Troubleshoot operational and software problems, determine the cause of error or stoppage, apply corrective techniques, or refer problems to technical staff.
- Perform other related duties as required.
QUALIFICATIONS
Education: Bachelor’s Degree in information systems-related major (or commensurate number of
years of experience in industry or recognized certifications) from an accredited institution.
- Three to five years of experience working with computerized record systems/databases are
required. Experience should include three years of support to end-users, uploading/downloading of
data, performing problem solving and/or troubleshooting.
- Experience using databases maintained by the Washington School Information Processing
Cooperative (WSIPC) including Skyward student database and/or Skyward HR/Payroll systems
preferred.

- Knowledge and experience related to reports required by OSPI and federal agencies including reports submitted electronically to OSPI through EDS and CEDARS interfaces.

- Skills in management and assisting, including demonstrated skills in planning, organizing, executing, and evaluating activities and functions in a school and/or data processing environment.
