    Job Title: Transcript Evaluator and NCAA Compliance Specialist
    Reporting Structure: Registrar

    Job Summary:
    As a member of the Registrar’s Office team, the Transcript Evaluator and NCAA Compliance Specialist is responsible for coordinating, managing, supervising and overseeing the certification of the academic eligibility of student athletes in compliance with the National Collegiate Athletic Association (NCAA). The incumbent is also responsible for the planning, coordination and implementation of the transfer review process and procedures including recording the evaluation decision of Academic Affairs. This position works through practical and visionary action to provide relevant resources and information to students and advisors by maintaining transfer evaluations and NCAA compliance that promote student confidence and pride while upholding the academic integrity of the university.
    Transcript Evaluator Duties/Responsibilities:
    Liaise with Faculty, Department Chairs and Deans to create and implement policies to evaluate and determine equivalencies of external transcripts to meet graduation requirements.
    In conjunction with Faculty, Department Chairs and Deans:
    • Research and analyze course descriptions and transfer of credit policies to determine transfer of credit eligibility.
    • Evaluate applicant and student documents and award credit for foreign and domestic university level transfer work, international baccalaureate, advanced placement, and university level exam placement score reports, military work, and credit for prior learning for the purpose of establishing eligibility for enrollment and transferability of university credit and graduation.
    • Maintain an inventory of transfer articulation agreements, policies and procedures that must be reviewed and updated on an annual basis in close consultation with academic departments, divisions, senate committees, Admissions and Financial Aid.
    • Evaluate transfer credits, graduation requirements and determine eligibility per National Collegiate Athletic Association (NCAA) academic requirements; perform related work.
    Perform accurate data entry of transcripts received and courses taken by applicants and students at external institutions.
    Provide assistance and information to students, general public, and departments regarding transferability of courses.
     
    NCAA Compliance Specialist Duties/Responsibilities:
    • Obtain, evaluate and document the academic credentials in accordance with National Collegiate Athletic Association (NCAA) and conference eligibility rules for approximately 300-plus student-athletes.
    • Certify each semester that student-athletes are making progress in degree programs and can complete the programs in five years.
    • Review and assess athletic eligibility for NCAA, communicate with coaches and athletic department on the eligibility status of student athletes.
    • Provide the official certification of eligibility documentation to the SWAC Conference Offices.
    • Determine initial eligibility certification with the institutional partners.
    • Maintain and monitor NCAA compliance-related records each semester.
    • Provide support for the administration of NCAA Compliance Assistant software.
    • Review policies and develop procedures and controls to ensure compliance.
    • Interpret NCAA, transfer credit, institutional and department rules and policies; communicate those policies and procedures to faculty, staff, students and constituents, recommend changes to those policies and/or procedures; write and updates procedures, training materials, and presentations.
    • Participate in and complete all NCAA rules education programs and offerings and NCAA rules interpretations
    Utilize the Jenzabar student information system and other software and applications in accord with state and federal (FERPA) privacy regulations, SACSCOC and other accreditation and industry standards, including AACRAO, SACRAO, FACRAO, NCAA guidelines, policies and rules.
    Maintain computerized student files and credentials; run queries; verify updates, and correct student records; prepare and preserve materials for records retention.
    Maintain effective, positive working relationships within and outside the work group, including registrar’s office, Athletics, Admissions, Academic Affairs, Enrollment Management.
     
    Shared Responsibilities:
    Perform the day-to-day operations of academic record maintenance by knowing, interpreting, applying, and communicating academic policy and procedures related to students’ records and enrollment.
    Assist with high quality customer service front counter and back office operation that meet the needs of prospective and matriculated students and athletes.
    Provide accurate, timely, and personalized service to all stakeholders, representing the Registrar’s Office, which involves interaction with all levels inside and outside the university, including dealing with sensitive and confidential information.
    Cross-train within unit to fulfill office duties and ensure efficient operations; answer the telephone and respond to email inquiries; print, mail, fax and scan documents, maintain filing, create, and/or update documents.
    Participate in and complete professional development activities, work-related trainings and workshops, including attending state-wide meetings of registrar and athletic compliance administrators.
    Assist with the coordination of commencement and conferral activities and participate in graduation ceremony.
    Be flexible in dealing with changes in policies, procedures, organizational structure, and issues, forward thinking, student-centered, and solution-oriented.
    Other duties as assigned.

    Comprehensive understanding of federal (FERPA) privacy regulations and enforcement procedures with the ability to handle and abide by strict confidentiality requirements as directed by FERPA, university and departmental policies, with discretion.
    Ability to effectively comprehend, interpret and communicate university, academic, NCAA and registrar policies, procedures and regulations.
    Ethical, fair and professional in all interactions, consistent in one’s actions, while pursuing the highest degree of integrity in interacting with all constituents.
    Must always be professional in conduct and adhere to all university, NCAA, SWAC and departmental rules and regulations.
    Strong ability to work and collaborate effectively with supervisors, subordinates, peers, faculty, administrators and staff across University divisions and departments, particularly, financial aid, academic advising, student accounts and athletics.
    Demonstrated commitment to providing exemplary customer service to students, faculty, staff, administrators and other University stakeholders on and off campus.

    Education and Experience:
    Bachelor’s degree
    A minimum of two years of experience in higher education, preferably in a registrar’s office role.
    A minimum of two years of NCAA athletics compliance experience with comprehensive knowledge of NCAA compliance rules and policies.
    Experience researching, interpreting, applying and explaining academic information, university policies and procedures demonstrating a considerable knowledge of transfer credit evaluations, issues and graduation requirements with the ability to determine applicable rules and regulations.
    Strong technical (power user) computer skills proficiency and accuracy, compiling data, preparing and running reports, using spreadsheets software, databases, video-conferencing software. student information systems (preferably Jenzabar) athletic software (Jump Forward), reporting writing tools and desktop applications for student record keeping, compliance and maintenance.
    Knowledge of SACSCOC, state and other accreditation and industry standards, including AACRAO, SACRAO, FACRAO, NCAA guidelines, policies and rules.
    Strong interpersonal, teamwork, and oral, written and virtual communication skills including public presentation skills.
     
    Physical Requirements:
    This is a 100% on campus position.
    Some evening availability and (during peak enrollment periods and for special events) weekend availability is required. Must be flexible to meet special scheduling needs of the University.
    Work is performed in a standard office or similar environment.
    Subject to standing, walking, sitting, bending, reaching, pushing, and pulling.
    Occasional lifting of objects up to 10 pounds.
