Overview:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office and providing administrative support to our team. This is a full-time position with opportunities for growth and development.
Duties:
- Perform general clerical duties, including downloading, photocopying, scanning, faxing, and filing
- Create new real estate closing files by downloading the necessary documents from secure portals, researching missing information, inputting data into our software system, and monitoring these files until they are assigned to the proper closer
- Answer phone calls and direct them to the appropriate staff members
- Greet visitors and provide them with necessary information
- Sort and distribute mail
- Coordinate office supplies and ensure they are adequately stocked
- Act as a backup to the courier (if needed) by picking up closing paperwork; taking loan payoffs to local lenders; picking up abstracts, title opinions, or other miscellaneous documents to various attorneys' offices
- Take mail to the post office and the end of each day
- Provide support to other employees as needed
Qualifications:
- High school diploma or equivalent required; additional education or certification is a plus
- Proven experience in an office assistant or administrative role preferred
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to prioritize multiple tasks effectively
- Excellent written and verbal communication skills
- Professional and personable attitude (Office dress code is business casual attire)
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong attention to detail and accuracy in data entry
- Knowledge of basic office management procedures
