Position Overview: We are seeking a friendly, organized, and professional Front Desk Client Coordinator to join our estate planning law firm. The ideal candidate will be the first point of contact for clients, providing exceptional customer service and administrative support to ensure a seamless client experience. The ideal candidate will have excellent communication skills, have an interest in law, marketing/sales and enjoy people.

Responsibilities:

• Schedule appointments / Monitor schedules
• Field all incoming calls - Answer phone calls, address inquiries, route calls
• Complete all tasks in CRM’s (Client Relations Matter) and add custom data
• Send client intake forms
• Email and Phone call appointment confirmations
• Process deposits and engagements
• Open billable matters as directed
• Complete various errands as directed
• Process incoming and outgoing mail as tasked
• Check clients in and out of appointments
• Assist legal assistant with scanning/filing
• Assist Marketing Director in Sales Work / Complete outbound sales calls / Creating Marketing Creative
• Complete prospect/lead follow up
• Monitor support email
• Attend weekly team meetings online
• Maintain a clean and organized reception area

Qualifications:

• Strong organizational and multitasking skills with attention to detail.
• Excellent written and verbal communication skills.
• Ability to work independently and collaboratively in a team environment.
• Enjoys talking to people and assisting in sales.
• Knowledge of estate planning or legal terminology is a plus
• Proficient in Microsoft Office Suite (Word, Excel, Outlook)
