Estimating Director leads the estimating function and develops standards, procedures, tools, and methodologies to produce cost estimates for technical projects based on work scope, specifications, and proposal or contract requirements. Establishes processes to perform analysis of project requirements, plans, and specifications to identify labor, material, equipment, and service requirements. Being an Estimating Director incorporates benchmark data, trends, and historical pricing to generate detailed cost estimates that consist of itemized lists of expenses, labor hours, material quantities, and potential cost variations. Develops a workflow and system for scheduling and processing estimate requests and communicating with stakeholders. Additionally, Estimating Director depending on the complexity and type of project, may use different estimating methods, mathematical models, or specialized estimating software tools to generate estimates. Requires a bachelor's degree. Typically reports to senior management. The Estimating Director manages a departmental sub-function within a broader departmental function. Creates functional strategies and specific objectives for the sub-function and develops budgets/policies/procedures to support the functional infrastructure. To be an Estimating Director typically requires 5+ years of managerial experience. Deep knowledge of the managed sub-function and solid knowledge of the overall departmental function.     We currently have an opportunity for an Estimating Administrator in College Point, NY.  The Estimating Administrator will perform a variety of professional estimating duties related to developing estimates and procuring work for heavy civil construction projects. Assists in the preparation of bid documents & proposals, procure bid documents, contact vendors and subcontractors, and handle contract administrative paperwork.

    Responsibilities

    Processing new bids/proposals

    • Order, download and upload bid/proposal files and addendums from/to client websites and contracting departments
    • Logging new bid/proposal information and deadlines into estimating database
    • Ordering bond and insurance for the new bids/proposals

    During the bid/proposal submission

    • Liaise with vendors and suppliers to obtain quotes and pricing information. and subcontractors for quotes, qualifications, and other required information
    • Updating vendor/subcontractor information on company Smartbid database
    • Gather submittals from subcontractors/vendors and prepare close out documents for each bid/proposal with the required bond, insurance and M/W/DBE participation
    • Support the preparation of detailed bid proposals and estimates for potential projects; collaborate with the estimating team to gather necessary information and ensure bid deadlines are met.
    • Provide administrative support to the estimating team, including scheduling meetings, managing calendars, and handling correspondence, processing estimating bills, ordering department needs, etc.
    • Effectively and accurately communicate relevant project information to the client, estimating/proposal team, vendors, and subcontractors.
    • Requires thorough knowledge and understanding of process flow to ensure information released to estimating is complete and accurate

    Qualifications

    • High school diploma or equivalent; bachelor's degree in a related field is a plus.
    • Proven experience in administrative roles, preferably in construction, engineering, or a similar industry.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and estimating software
    • Strong organizational skills and attention to detail.
    • Excellent communication and interpersonal skills.
    • Ability to work collaboratively in a team and meet tight deadlines.
    • Familiarity with construction terminology and processes is advantageous.
    • Knowledge of basic mathematics and cost analysis principles.
    • Ability to adapt to changing priorities
