Executive Assistant provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Being an Executive Assistant manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the executive and prepares summaries and reports. Additionally, Executive Assistant develops positive and strategic relationships at all levels of the organization. Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality. May be responsible for directing and deploying support staff or other resources. Typically requires a bachelor's degree. Typically reports to c-suite executive. The Executive Assistant work is generally independent and collaborative in nature. Contributes to moderately complex aspects of a project. Schedule Expectations
° Usual work hours Monday-Friday 8:00 a.m.- 5:00 p.m. with 1-hour unpaid lunch
° Combination of in-office and on-location

° Deliver friendly customer service to all vendors and clients

Qualifications
° Experience in event planning/hospitality or work experience in related field
° Excellent punctuation, spelling, grammar and command of English language
° Superior attention to detail
° Superior verbal and written skills
° Strong customer service mindset and interpersonal skills
° Ability to work independently and as a team member
Responsibilities
° Serve as assistant to CEO and Special Projects Director
° Setup for scheduled meetings: Food and beverage, A/V
° Maintain supply inventory at Centre and 434 Fannin
° Purchase and ship items (as needed)
° Coordinate lunch delivery to Broussard’s locations (1x month)
° Monitor maintenance needs at Centre and Fannin – notify facilities coordinator as needed
° Plan and execute company hosted events and annual campaigns
434 Fannin Responsibilities
° Handle all client inquiries from initial inquiry to event completion
° Schedule and host venue tours
° Send proposals/contracts/layouts to clients using HoneyBook
° Source rental items to supplement events (as needed)
° Setup for events
° Schedule staff to work events
° Train new hosts
° Plan marketing events (open house/pop ups, etc.) (2-3x a year)
° Meet clients and vendors on-site (as needed)
