Executive Assistant provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Being an Executive Assistant manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the executive and prepares summaries and reports. Additionally, Executive Assistant develops positive and strategic relationships at all levels of the organization. Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality. May be responsible for directing and deploying support staff or other resources. Typically requires a bachelor's degree. Typically reports to c-suite executive. Summary/Purpose of the position:
The Executive Assistant will provide high-level administrative support and assistance to the president of our company. You will help ensure he is freed up to focus on continued efficient and innovative business operations. You will be responsible for managing his schedule, coordinating meetings, handling correspondence, and assisting with various tasks to facilitate his responsibilities.
Responsibilities:
· Manage the president’s calendar, schedule appointments, and coordinate meetings.
· Handle correspondence, including emails, mail, and phone calls in a timely manner.
· Maintain and organize files, records, and other documentation.
· Act as the point of contact between the owner and internal/external communications.
· Relay messages, instructions, and information accurately and efficiently.
· Ensure effective communication flow within the organization.
· Arrange travel accommodations, including flights, hotels, and transportation.
· Assist the owner in managing various projects, with research, coordination, and follow-up.
· Help prioritize tasks and ensure deadlines are met.
· Provide support in project planning, execution, and evaluation.
· Maintain strict confidentiality of sensitive information and documents.
· Handle confidential matters with discretion and professionalism.
