Executive Assistant provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Being an Executive Assistant manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the executive and prepares summaries and reports. Additionally, Executive Assistant develops positive and strategic relationships at all levels of the organization. Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality. Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support.
KEY ROLES (Essential Job Responsibilities):
1. Performs regular office duties, preparing correspondence and reports as requested by supervisor and composes draft letters following established formats. Proofreads all materials for accuracy prior to supervisory review and signature.
2. Maintains supervisor’s calendar, scheduling meetings and making logistical and travel arrangements as requested for internal and external meetings. May prepare meeting agenda and minutes, as requested.
3. Direct administrative support to the Board of Directors, the Executive Committee, the Unit Boards, and the Leadership Board including meeting agendas, materials, minutes, events and mailings.
4. Maintains all records of board members including recruitment, committee memberships, rosters, awards, profiles and resignations. Ensures recognition of the board members for birthdays and significant events.
5. Organizes the board meetings, the annual meeting and the annual board retreat.
6. Answers telephones, providing general information, referring callers to other staff or taking messages as necessary.
7. Receives all organization mail and distributes. Makes copies of all checks for the CPO and maintains copies.
8. Enters information on the donor database as needed and assists with fundraising activities as necessary.
9. Maintains electronic and hard copy filing systems, making sure they are accurate and timely and facilitate easy retrieval of information.
10. Responsible for managing inventory of office equipment (excluding computers) including phone system, other business equipment and service contracts, performing routine maintenance activities and contacting service representatives as needed.
11. Supports and attends all meetings of the Board Development Committee, Executive Committee, Board of Directors, and the Leadership Board.
12. Perform other related duties as requested.
