Executive Assistant provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Being an Executive Assistant manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the executive and prepares summaries and reports. Additionally, Executive Assistant develops positive and strategic relationships at all levels of the organization. Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality. May be responsible for directing and deploying support staff or other resources. Typically requires a bachelor's degree. Typically reports to c-suite executive. The Executive Assistant work is generally independent and collaborative in nature. Contributes to moderately complex aspects of a project. This is a hybrid role that requires some on-site work (inside our Indianapolis, Indiana office). In addition to the on-site duties, there are additional responsibilities that can be completed outside of the office, resulting in this being a hybrid role.
You will leverage your expertise to best serve our members:
· Facilitate and assist with prioritizing the workflow of the CEO.
· Provide senior-level administrative support and assistance to the CEO and/or other assigned Executive Team members.
· Receive incoming communication or memos on behalf of CEO or Executive Team; review contents, determine importance, and summarize and/or distribute contents to appropriate team members.
· Organize, schedule, and prepare for meetings; including but not limited to gathering documents in advance, room setup and other room logistics, attending meetings, taking notes and/or recording minutes.
· Perform clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for CEO and Executive Team when requested.
· Manage scheduling for company executive(s).
· Draft, review, and send communications on behalf of CEO.
· Answer and respond to phone calls; communicate messages and information to the Executive Team.
· Coordinate travel arrangements and expenses for CEO and other executives when requested.
· Maintain various records and documents for company executive(s).
· Solve administrative problems independently.
· Demonstrate a proficiency with technology, including mastery with Microsoft Word and PowerPoint.
· Perform additional duties as assigned by executives.
You will make a difference as you live out our purpose:
· Establish a smooth and efficient process and environment for monthly meetings with our Board of Directors and as needed, external vendor partners.
· Lead agenda planning, audio/visual support, and meeting support for both in-person and virtual meetings.
· Serve as the point person for meetings’ technology and catering needs.
· Serve as the liaison for the Board of Directors, including on-boarding of new members, communication, compiling and distributing board materials, and supporting board member access to the portal and the building for in-person meetings.
You will help grow the business:
· Build rapport and use relationship skills, representing Element’s in a professional manner with team members and Elements’ partners.
· Work collaboratively with all areas of Elements Financial.
· Influence various aspects of the business through excellent report preparation, recordkeeping, expense and budget management, audit preparation, presentation development, meeting preparation and event planning.
