We are seeking an Executive Assistant to join our team to provide a high-level of administrative support to executives by conducting research, preparing reports, handling information requests, managing licenses and certifications, and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also manage travel and expense reports.
QUALIFICATIONS
- Proven experience as an executive assistant or similar administrative role
- Exceptional organizational and time-management skills
- Excellent written and verbal communication abilities
- High Level of Proficiency in Microsoft Excel, Word, and Outlook
- Ability to prioritize tasks and work efficiently under pressure
- Discretion and confidentiality in handling sensitive information
- Willingness to adapt to changing priorities and responsibilities
- Experience in Manufacturing a plus
- Experience with ERP software a plus
RESPONSIBILITIES:
- Manage and maintain executives' schedules, appointments, and travel arrangements
- Arrange and coordinate meetings and events, including booking venues, preparing materials, and taking minutes
- Screen and direct phone calls and distribute correspondence
- Handle confidential information with discretion
- Draft and edit correspondence, reports, and presentations
- Interact with internal staff and external clients on behalf of executives
- Serve as a liaison between executives and other departments
- Conduct research on various topics as assigned by executives
- Compile data and prepare reports for review
- Manage engineering certifications and renewals
- Assist in the planning and execution of special projects and initiatives
- Maintain office supplies and equipment
- Oversee the organization and cleanliness of the executive office space and other office areas
